As our programs continue to grow, we’re looking for an Adoption Team Coordinator to
support and streamline our adoption operations, strengthen communication, and ensure
every dog in our program is matched with the right home through a thoughtful, organized,
and heart-led process.
Position Overview
The Adoption Team Coordinator will oversee our volunteer Adoption Advocacy team,
ensuring that the adoption process runs smoothly, efficiently, and with care. Their primary
goal is to strengthen and continuously improve our adoption program — from applicant
communication and data accuracy to coordinator support, scheduling, and overall adopter
experience. This role is central to improving the flow, quality, and consistency of our
adoptions as the rescue continues to scale.
You’ll work closely with leadership to maintain strong workflows, optimize communication,
and create a streamlined path for families looking to adopt.
Compensation: $25–$27 per hour (depending on experience)
Hours: Approximately 10–15 hours per week
Location: Some in-person work in Santa Monica, with occasional weekend events as
needed based on adoption scheduling
Key Responsibilities
Program Oversight
Oversee applicant communication, ensuring timely follow-ups, updates, and professionalism
Coordinate meet-and-greets, home checks, adoption scheduling, and event-related adoption support
Provide leadership with regular updates on adoption pipeline movement and team needs
Operational Systems & Data Integrity
Maintain and monitor all adoption-related data in Dach (our CRM platform)
Ensure applications, notes, agreements, fees, and records are complete, accurate, and organized
Manage adoption dashboards inside Notion, including:
•Adoption Pipeline
•Coordinator Workboards
•Tracking and activity logs
•Distribute coordinator tickets and ensure timely follow-up and delegation
•Support onboarding and training for new Adoption Coordinators on systems, tools, and workflows
Collaborate with the Growth Team to support operational efficiency
Story Development & Retention
Gather adopter updates, success stories, and photos to support social media and donor campaigns
Ensure adopters receive a clear, compassionate, and consistent experience throughout the process
Identify opportunities to improve communication templates, touch points, and overall experience
Ideal Traits & Experience
- Proven experience in leadership or team coordination
- Strong communication and organizational skills
- Experience with CRMs or project management tools (Notion, Airtable, etc.)
- Proactive problem-solving and systems-oriented mindset
- Passion for animal welfare and rescue work
