TERMS:
This position is a 260 total paid days position offering full family medical, dental, and vision benefits. Dental, vision, and life insurance are paid by the district at no cost to the employee. Vacation, personal business days, holidays and sick time paid. Retirement through the Office of Retirement Services (Pension Plus or Defined Contribution).
SALARY RANGE:
This position is on the NonUnion, Salary Scale Grade S, $64647.78-85128.81
per year.
GENERAL JOB FUNCTION:
The Grants Financial Specialist is responsible for financial support of the full lifecycle of grant processes, managing awarded grants, and ensuring compliance with grant requirements. The Grants Financial Specialist will collaborate with various departments and programs to monitor and maintain the expensing and encumbering of grant funds, manage deadlines, and report on the progress and outcomes of funded projects, as well as ensure that grant reporting and evaluations are completed in a timely manner. This position supports core accounting functions such as journal entries, financial reporting, and audit preparation.
ESSENTIAL JOB FUNCTIONS
- Monitors MAISD programs to ensure grant budget allocations and programs are aligned to grant regulations and allowable use of funds.
- Manage the execution of awarded grants, including tracking progress, ensuring compliance with all grant terms and conditions, and maintaining documentation.
- Collaborate with programmatic staff to develop accurate grant budgets, monitor expenditures, and ensure that funds are allocated according to grant guidelines.
- Prepare and submit all required grant reports, including financial reports and programmatic outcomes, to grantors in a timely and accurate manner.
- Work closely with program managers and other staff to gather the necessary data for grant applications and reports, ensuring alignment with project goals and objectives.
- Work with building administrators and staff to offer technical assistance and training when needed.
- Assist in preparing for grant audits and work closely with auditors to ensure a smooth and successful review.
- Initiate grant applications, process amendments, and maintain documentation for all grant-related expenditures.
- Develop, implement, and maintain revenue and expenditure budgets for assigned grants.
- Works closely with MAISD directors and consultants in federal project budgeting, accounting, and bookkeeping, as well as in the preparation and monitoring of budgets for a range of grant applicants and awards.
- Reconcile expenditures with grant budgets and prepare detailed financial reports to ensure accuracy and compliance.
- Perform grant draws and submit final expenditure reports through the NexSys system in accordance with grant timelines and guidelines.
- Assist in the preparation and submission of quarterly and annual grant-related financial reports.
- Monitor and maintain compliance with federal, state, and local regulations, as well as internal board policies and procedures.
- Prepare financial reports, analyze transactions, and verify compliance with grant requirements, Board policy, administrative rules, and internal standard operating procedures.
- Review invoices, budgets, and financial reports submitted by grant subrecipients for accuracy and compliance, and advise relevant staff on appropriate corrective actions.
- Identify, recommend, and implement process improvements to enhance the efficiency and effectiveness of grant management.
- Complete journal entries as needed to keep the general ledger and trial balance current, as well as keep grants in balance.
- Assist in preparing financial documentation and reports for both internal and external stakeholders.
- Performs such other tasks and assumes such other responsibilities as the Associate Superintendent/Superintendent may assign.
MINIMUM QUALIFICATIONS:

- Bachelor’s degree in business, nonprofit management, public administration, finance, or a related field.
- Familiarity with budget management and financial reporting for grants.
- Strong project management skills with attention to detail.
- Excellent written and verbal communication skills.
PREFERRED QUALIFICATIONS:
- Master’s degree in business, public administration, or a related field.
- Successful experience in grant management with demonstrated success in nonprofit or education sectors.
- Knowledge of federal and state grant regulations and compliance.
- Certified Grant Professional (CGP) or similar credential.
- Demonstrated ability in gathering, analyzing, and preparing data for presentation.
- Experience in various operating systems such as the Michigan Education Information System (MEIS), the Michigan Educational Grants System (MEGS), NexSys, etc.
- Ability to gather and analyze data to determine compliance with program and grant guidelines and criteria, and to monitor status of multiple grants and programs.

PAY STRUCTURE:
This position is on Grade S of the MAISD salary scales.
