Summary

The Core Residency Program Coordinator plays a key role in the administration and coordination of the Core Residency Program. As the link between residents and the Dean of the Core Program, and between the program and other museum departments, the Core Residency Program Coordinator will have excellent interpersonal skills and the ability to work collaboratively, as well as the ability to schedule and execute assignments independently.

Duties And Responsibilities

The Core Residency Program Coordinator supports the Dean of the Core Program in all aspects of planning and facilitating the Core Residency Program including the following specific responsibilities:

  • Residency Support:
  • Coordinates recruitment efforts in collaboration with the Glassell marketing team, including advertising, mailings, and applicant correspondence.
  • Manages all aspects of the online admissions review process; organizes and administers virtual and in-person review panel meetings.
  • Oversees all aspects of residency orientation, including coordinating immigration paperwork and documentation; managing studio assignments; and preparing studio spaces.
  • Serves as a liaison and primary point of contact for all fellows on matters related to HR, payroll, accounting practices, security, and other MFAH departmental procedures.
  • Coordinates the preparation and processing of stipends and other award payments.
  • Manages all communication with fellows regarding Core-related programming and scheduling, including maintaining the program’s shared calendars.
  • Program Support:
  • Provides administrative support for the Dean of the Core Residency Program, including coordinating travel arrangements and managing expense reports.
  • Assists the Dean with research for lectures, presentations, publications, and program development as needed.
  • Maintains organized physical and digital records and archives related to fellows and program visitors.
  • Supports fundraising efforts, including grant writing, research, and reporting as needed; interfaces with Development on events involving the Core Salon and other patron groups; and coordinates production of the annual Core edition.
  • Prepares Executive Committee reports on Core programming and presents to the committee as needed.
  • Maintains Core mailing and email distribution lists.
  • Maintains a database of Core alumni contacts and activities; produces and distributes regular correspondence to alumni and supporters.
  • Maintains and updates the Core and Glassell Lecture Series websites in collaboration with the Glassell marketing team; ensures program information on the museum’s website remains current.
  • Coordinates production of all Core-related promotional materials in collaboration with marketing and graphics teams; coordinates with the Communications department on press releases as needed.
  • Acts as liaison and first point of contact for phone and electronic inquiries related to the Core Residency Program. Represents the program in a professional and welcoming manner when interacting with applicants, partners, and the public.
  • Performs other duties as assigned.
  • Exhibitions & Events:
  • Responsible for all logistics related to the Glassell Lecture Series, which overlaps with the Core Residency Program. Manages travel and accommodations for visiting artists and scholars; oversees the hosting of visitors; prepares promotional materials and announcements; schedules program events on the museum master calendar; and coordinates event setup as needed.
  • Coordinates and executes additional Core gatherings, including meetings, studio visits, tours, workshops, and other related programs. Prepares and processes honoraria for guest lecturers and other Core visitors.
  • Assists Exhibitions Coordinator with all aspects of Core-related exhibitions including logistics and timelines for installation and deinstallation, receptions and events.
  • Leads the production of all Glassell Lecture Series and Core-related publications, including managing publication timelines and deadlines; copyediting and proofreading texts; processing images; coordinating rights and reproductions; and coordinating design and printing.
  • Interfaces with other museum departments, including Registrar, Development, Communications, Marketing, Publications, Libraries & Archives, Special Events, A/V, Security, Engineering & Facilities, Curatorial, and Exhibitions.

Skills, Knowledge, And Abilities

  • Excellent communication skills and ability to work collaboratively.
  • Superior ability to work independently with excellent follow-through and prioritization.
  • Proficient in Microsoft Office (Word, PowerPoint, Excel), image processing, and other digital tools.
  • Sophisticated research, copyediting, and proofreading skills.
  • Superior organizational skills and attention to detail.
  • Ability to work weekends and evenings.

Education And Experience

  • 3–5 years of administrative experience and office management skills.
  • Bachelor's degree in an art-related field preferred OR an equivalent combination of experience and education from which comparable and demonstrable knowledge, skills and abilities have been achieved.
  • BA in art-related field helpful. Interest in contemporary art required.

Schedule: 35-hour work week – 9 am to 5 pm

  • Paid Time Off - Used for absences from work such as vacation, illness of short duration, and personal reasons. Hours are accrued biweekly, based on employment status, length of service, and hours worked
  • Reserve Time Off - Used for extended illnesses. Employees accrue up to 6 days per year, up to a maximum of 120 days
  • Holidays - Full-time employees receive eleven paid holidays per year
  • Volunteer Time Off - The MFAH supports activities that enhance and serve the communities in which we live and work. Employees receive up to 40 hours of paid time off annually to give back and volunteer.

Salary will be commensurate with the applicant's experience and the needs and requirements expressed in the job description.
