Murrelektronik is seeking a highly organized, proactive, and professional Executive Assistant to the Vice President of Sales. This position will provide high-level administrative and organizational support to the VP of Sales while helping ensure the Sales organization operates efficiently and effectively.
The Executive Assistant will serve as a trusted administrative partner to the VP of Sales, managing schedules, coordinating meetings, preparing reports and presentations, organizing travel, supporting communications, and assisting with key sales initiatives. The ideal candidate is exceptionally organized, detail-oriented, resourceful, and capable of managing multiple priorities in a fast-paced business environment while maintaining a high level of confidentiality and professionalism.
This role requires strong judgment, excellent communication skills, and the ability to anticipate needs, resolve issues, and work independently with limited supervision.
Key Responsibilities
Executive & Administrative Support
- Provide comprehensive administrative support to the VP of Sales along with sales support and improved organization/communication for the sales leadership team
- Manage and maintain a complex executive calendar, including scheduling meetings, appointments, conference calls, and internal/external engagements.
- Coordinate and prioritize meetings based on business needs and executive priorities.
- Prepare meeting agendas, presentations, reports, correspondence, and other executive-level materials.
- Prepare briefing materials and gather information necessary for meetings and business reviews.
- Track follow-up items, action items, and deadlines resulting from executive meetings.
- Maintain organized electronic and physical files, records, and confidential information.
- Draft, proofread, and edit correspondence, presentations, reports, and communications.
Sales Organization Support
- Provide administrative support for Sales leadership and key sales initiatives.
- Assist with sales meetings, leadership meetings, customer meetings, conferences, and special events.
- Coordinate sales presentations, business reviews, and leadership meetings.
- Compile and organize sales data, reports, dashboards, and presentations as requested.
- Assist with tracking key sales initiatives, projects, deadlines, and deliverables.
- Coordinate communication and information flow between the VP of Sales and internal departments.
- Support preparation for customer visits, sales meetings, trade shows, and other business activities.
- Assist with special projects and strategic initiatives as assigned by the VP of Sales.
Travel & Event Coordination
- Coordinate domestic and international travel arrangements, including flights, hotels, transportation, and itineraries.
- Prepare detailed travel itineraries and supporting documentation.
- Assist with expense reports and reconciliation of executive expenses.
- Coordinate logistics for customer visits, sales meetings, conferences, and company events.
- Anticipate and proactively resolve travel or scheduling issues.
Communication & Relationship Management
- Serve as a professional point of contact for the VP of Sales with internal employees, customers, suppliers, partners, and other stakeholders.
- Handle sensitive and confidential information with discretion and sound judgment.
- Maintain professional relationships with executives, customers, and internal stakeholders.
- Facilitate timely communication and follow-up on behalf of the VP of Sales.
- Exercise appropriate judgment regarding matters requiring executive attention.
Special Projects
- Support strategic and operational projects initiated by the VP of Sales.
- Conduct research, gather information, and prepare summaries as needed.
- Assist with presentations, business planning activities, and executive reporting.
- Coordinate cross-functional projects and ensure deadlines are communicated and monitored.
- Take ownership of administrative processes and identify opportunities to improve efficiency.
Required Qualifications
- Bachelor’s degree in Business Administration, Management, Communications, or a related field preferred.
- 5 years of experience providing administrative or executive support, preferably supporting a senior executive or sales leader.
- Demonstrated experience managing complex calendars, meetings, travel, and executive communications.
- Strong proficiency with Microsoft Office Suite, particularly Outlook, Word, Excel, and PowerPoint.
- Excellent written and verbal communication skills.
- Strong organizational and time-management skills.
- Exceptional attention to detail and accuracy.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Ability to handle confidential and sensitive information appropriately.
- Strong interpersonal skills and the ability to interact effectively with employees at all levels of an organization.
- Demonstrated ability to work independently, exercise sound judgment, and anticipate executive needs.
Preferred Qualifications
- Experience supporting a VP, C-Suite executive, or Sales leadership team.
- Experience in a manufacturing, industrial automation, engineering, or technology environment.
- Experience working with international teams or a global organization.
- Familiarity with CRM, ERP, or sales reporting systems.
- Experience coordinating executive-level meetings and customer-facing events.
- German language skills are a plus but not required.
