Position Summary
We’re seeking a dynamic and detail-oriented Project Coordinator Specialist to support high-impact industrial and building insulation construction projects at Murphy Company. Partner closely with Project Managers to drive process excellence, accurate documentation, and timely delivery.
This role is perfect for someone who excels at bridging administrative precision with construction realities in a collaborative, fast-paced environment.
Key Responsibilities
- Process Compliance & Project Support: Partner with Project Managers to ensure all projects follow established workflows, timelines, and company procedures. Monitor project status, flag deviations, and assist in implementing corrective actions. Track key milestones, deliverables, and deadlines across multiple projects.
- Continuous Improvement: Identify opportunities to streamline processes, recommend template/standardization improvements for documents, and participate in post-project reviews.
- Reporting & Analysis: Monitor dashboards, metrics, and key performance indicators. Assist with job costing, budget tracking, and forecasting as needed.
- Proposal & Bid Support: Contribute to the development of proposal documents, including scope narratives, pricing breakdowns, schedules, and qualifications. Coordinate with estimating teams to ensure compliance with client requirements (e.g., bonding, insurance, MWBE documentation).
- Submittal Management: Prepare, compile, and track submittals (shop drawings, product data, samples, certifications, etc.). Coordinate with vendors and internal team members to ensure timely submission and approval.
- Billing & Financial Documentation: Assist in the preparation and processing of monthly billings, progress invoices, and applications for payment. Verify supporting documentation (timesheets, material receipts, change orders).
- Change Order & Contract Administration: Support the preparation, tracking, and documentation of change orders, potential change notices (PCNs), and contract modifications. Maintain accurate records of approvals, costs, and impacts on schedule/budget.
Qualifications & Experience
- Education: Associate’s or Bachelor’s degree preferred. Equivalent experience will be considered.
- Experience: 3 years of experience in project coordination, administrative support, or assistant roles within the construction industry.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams) with excellent written and verbal communication skills. Experience with construction management software a plus.
- Bilingual English/Spanish preferred.
- Other Requirements: Strong understanding of construction terminology and processes.
