What To Expect (Essential Job Responsibilities)
- Review, audit, and validate billing invoices for accuracy and completeness, verifying charges compared to contracted rates.
- Verify freight billing invoice data matches customs documentation provided in the entry packet, including HAWB, CBP 7501, 7512, brokerage fees, duties, and taxes.
- Identify billing errors, overcharges, duplicates, and unauthorized accessorials.
- Research and resolve discrepancies directly with vendors or brokers.
- Track dispute status and recover overpayments.
- Ensure compliance with internal billing policies and vendor agreements.
- Maintain consistent, standardized invoice audit procedures.
- Act as primary liaison between SCM, Accounts Payable, and vendors; coordinating invoice approvals and payment timing with Accounts Payable.
- Provide clear communication on billing issues and resolutions.
- Work with analysts to track freight billing metrics including invoice accuracy, disputes, and recoveries.
- Work with analysts to support cost analysis (SCM, transportation, inbound, outbound) and other continuous improvement initiatives.
- Review and analyze the integrity of billing processes, making recommendations where changes are required.
- Support quality, financial, or trade compliance audits (JSOX, IATF, etc.) by providing documentation and billing history as needed.
- Support other departments with data related projects or cross-functional teams as needed.
- Performs other job-related responsibilities and duties as assigned.
- 2 years of experience in freight billing, 3PL billing, transportation accounting, logistics, supply chain, finance, or accounting.
- Strong understanding and experience in reviewing freight or 3PL invoices.
- High attention to detail with strong analytical and problem-solving skills.
- Ability to manage high invoice volumes with accuracy and efficiency.
- Strong communication skills for working with vendors and internal teams.
- Proficient with Microsoft Office programs.
- Experience supporting transportation or logistics operations.
- Experience reviewing international freight invoices and customs documentation (CBP 7501, 7512 preferred).
- Familiarity with multi-modal transportation (truckload, LTL, intermodal, ocean, air).
- Experience working with carrier contracts and rate agreements.
- Intermediate to advanced Excel proficiency (PivotTables, VLOOKUP/XLOOKUP, etc.).
- Knowledge in TMS, ERP, and/or freight audit systems (SAP, Oracle, etc.).
