Job Goals: The Administrative Assistant provides a wide variety of highly responsible, confidential, and complex administrative duties to assist the Elementary School Principal in the daily operations of the school. The Administrative Assistant will perform under the broad supervision of the Principal. The Administrative Assistant is also the liaison for students, faculty, staff and the general public.
Essential Duties & Responsibilities:
Greets and addresses the needs of all students, staff, parents and visitors. Maintains visitors log and provides passes to parents and visitors
Maintains the principal’s appointment book, coordinate meetings, conferences, evaluations schedules, and schedule interviews.
Acts as a liaison between principal, staff, parents and administration.
Meets with families to provide consultation, receive and process new student registration applications upon request.
Collaborates with other administrative assistants on a centralized kindergarten registration process upon request.
Communicates all announcements, notices and correspondence for principal.
Maintains confidential and non-confidential office files, and update student records.
Receives and handles incoming telephone calls providing other pertinent information where appropriate. Places calls, take messages and relay them to the appropriate individuals.
Prepares bulk-mailing letters, staff emergency snow chain list, bus and recess duty schedules, and other school-wide communications as necessary.
Maintains daily student absences, tardiness, and dismissals for attendance. Checks absentee, dismissal and excusable tardiness notes from parents or guardians. Checks with homes for certain absences. Updates dismissal log throughout the day.
Registers incoming pupils by preparing registration, census, and cumulative records. Assist with kindergarten registration and screening. Prepares screening and registration schedule, student cards, records, notices, and letters.
Maintains the school database in the district’s student information system.
Updates and maintains the school website as requested.
Assists the principal with updating and maintaining the master schedule, makes changes as required.
Processes and prepares and send all required student records for students transferring out of the district.
Works with the principal to coordinate, distribute, and verify all standardized state testing materials. Collects, counts and returns standardized state testing materials to the DESE. Places test results on students permanent records cards.
Prepares a variety of reports/request for the central administration offices, such as staff attendance, building use/rentals, accidents, labels, and other reports as requested.
Maintains daily staff attendance records. Compiles and submits weekly payroll and attendance for all school staff for principal review and approval.
Greets and coordinates daily substitute teacher assignment and schedule.
Tallies lunch orders daily and orders meals for student body and staff.
Assists principal with budget preparation and monitoring throughout the school year.
Prepares purchase orders and supply orders, verifies receipt, and distributes office supplies. Maintains inventory of supplies.
Enters requisition requests in district accounting system and prepares invoices for payment.
Works with the principal to gather, classify, organize, and distribute data for the purpose of complying with all federal, state, and local laws, guidelines, and policies.
Assists staff with proper classroom assignment and coverage. Works with custodian in scheduling use of building and process forms for building use approval. Maintains rental/events calendar.
Enters maintenance and custodial work order requests into the district’s facility work order system.
Arranges for field trips, coordinating with teachers, bus companies, parents and appropriate school administrative officers.
Participates as a member of the school Incident Management Team upon request.
Assists Parents’ Association in collecting all notices/forms for PTA pick up.
