Position Overview
Provide administrative support to operations department by creating and completing work orders, purchase orders, and assisting area manager and supervisors with special assignments.
Essential Job Functions
· Develop strong working relationships with Field Supervisors, Operations staff and other departments to deliver the best quality service to our client districts, builders and the vendor community.
- Assist in document control both electronically and hard copy to ensure all filing is current and easy to access as needed.
- Write letters, memos, reports, agreements, exhibits and general business correspondence as needed.
- Create work orders for nitrification action plans (NAP), dead end flushing, and water quality.
- Work in business systems such Adjutant to create and close service orders to bill times.
- Post, verify, and process invoices to be paid by Katy accounts payable.
- Pull reports from the systems to provide information as needed.
- Compete daily Drought Monitoring during summer and report to Supervisors and Contract Managers.
- Update Storm Water Status reports as needed for the department.
- Maintain and update the vehicle inspections reports.
- Manage TEEX class enrollment and ensure Operators records are updated.
- Create and distribute Safety Topics for Weekly Operations meetings and maintain attendance records.
- Review aging work orders on Task Grid and inform supervisors to ensure appropriate actions is taken.
- Coordinate SCBA Filter Change Outs on a quarterly basis.
- Complete timekeeping audit for Kemah area supervisors and provide administrative and IT support as needed.
- Set up, advise, and issue PO to contractor and follow up with customers for new taps for Galveston 12 area. (Review with Johnny)
- Monitor monthly CSI inspections that become due, call customers to confirm and initiate inspection for Galveston 12. (Review with Johnny)
- Set up and monitor work orders for inspections and receive and record inspection reports for Galveston 12. (Review with Johnny)
- Send out monthly letters for backflow certification. Monitor customers until report is completed and received for Galveston 12. (Review with Johnny)
- Perform back up duties to the Customer Care Representative as needed including batching payments for deposit.
Education and Experience Requirements
- High School or GED required. College course work in business administration would be helpful
- Three years or more as administrative assistant or related industry experience is preferred
Other Skills/Abilities
· Ability to learn and effectively navigate and provide reports using the software used in the various departments.
· Ability to plan, coordinate, and administer department projects
· Ability to multi-task, stay organized and be detail oriented while working to successfully meet deadlines
· Must be proficient in the Microsoft Office 2016 programs: Word, Excel, and Outlook
· Ability to communicate clearly and concisely both orally and in writing. Must be able to formulate good answers and provide effective information.
Job Type: Full-time
Pay: $22.00 - $25.00 per hour
