Job Summary
We are seeking a highly organized and proactive Office Manager to oversee daily operations and ensure the smooth functioning of our office environment, invoices, staff and phones. The ideal candidate will possess strong leadership, communication, and administrative skills, with experience in office management, quickbooks, and team supervision. This role requires a versatile individual capable of managing multiple responsibilities, including vendor relations, bookkeeping, and human resources functions, to support our organizational goals and foster a productive workplace.
Duties
- Manage daily office operations, including front desk activities and multi-line phone systems
- Oversee calendar management, scheduling meetings, and coordinating events
- Supervise staff and coordinate training & development initiatives
- Handle vendor management, including procurement and contract negotiations
- Maintain accurate bookkeeping records using QuickBooks and perform basic payroll processing
- Assist with budgeting, financial reporting, and expense tracking
- Manage human resources functions such as employee onboarding, record keeping, and compliance
- Organize filing systems and ensure proper document management
- Ensure excellent phone etiquette and professional communication with clients, vendors, and staff
- Implement policies to improve office efficiency and team productivity
Qualifications
- Proven experience in office management or administrative roles with clerical or office experience
- Supervising experience with team management skills
- Proficiency in QuickBooks, calendar management tools, and multi-line phone systems
- Strong organizational skills with the ability to multitask effectively
- Excellent communication skills both written and verbal
- Experience in event planning, vendor management, human resources, payroll, budgeting, bookkeeping, and medical office management preferred
- Demonstrated ability to handle front desk duties with professionalism and courtesy
- Ability to train staff and support ongoing development initiatives
- Attention to detail with strong problem-solving capabilities
- Prior experience in office or administrative settings that require high levels of organization and efficiency
Job Types: Full-time, Part-time
Pay: $16.00 - $18.00 per hour
