Position Summary
The DOT Compliance Administrator is responsible for administering the company's DOT compliance programs while supporting our operations, fleet, and EHS teams. This position ensures compliance with FMCSA regulations, maintains accurate driver and fleet records, supports regulatory audits, and helps keep our operations running safely and efficiently.
Key Responsibilities
DOT Compliance
- Maintain Driver Qualification (DQ) files, including:
- Motor Vehicle Records (MVRs)
- Medical Examiner Certificates
- CDL documentation
- Annual driver reviews
- Administer DOT drug and alcohol testing programs, including random testing requirements.
- Monitor Hours of Service (HOS) compliance and Electronic Logging Device (ELD) records.
- Track driver violations and assist with corrective action documentation.
- Maintain vehicle inspection, maintenance, and compliance records.
- Coordinate DOT audits and assist with regulatory inspections.
- Ensure compliance with FMCSA regulations and company policies.
Compliance Administration
- Maintain DOT and compliance documentation, records, and reporting.
- Track employee licenses, certifications, and required compliance training.
- Prepare reports and documentation for internal and external audits.
- Assist with updating compliance policies, procedures, and standard operating procedures.
- Maintain accurate records within compliance management systems.
Safety & Administrative Support
- Support the EHS team with compliance documentation and reporting.
- Assist with incident documentation and recordkeeping.
- Maintain safety training records and regulatory files.
- Support Workers' Compensation, vehicle accident, and general liability documentation as needed.
- Perform other compliance-related duties as assigned.
Qualifications
- 3 years of DOT compliance, transportation compliance, fleet administration, or related experience.
- Strong knowledge of FMCSA regulations and DOT compliance requirements.
- Experience maintaining Driver Qualification (DQ) files.
- Experience administering DOT drug and alcohol testing programs.
- Working knowledge of Hours of Service (HOS) regulations and Electronic Logging Devices (ELDs).
- Experience preparing for and supporting DOT audits.
- Strong organizational skills with exceptional attention to detail.
- Excellent communication and problem-solving skills.
- Proficient with Microsoft Office Suite and compliance software.
- Experience in pavement marking, traffic control, roadway safety, transportation, construction, or heavy equipment industries preferred.
- Valid driver's license.
- Ability to travel occasionally to support operating locations as needed.
