Role Description
We are seeking a proactive and experienced Administrative & Operations Specialist to support and coordinate daily office operations, procurement activities, vendor management, and administrative projects. This role requires someone who can take initiative, identify needs, research and compare vendor options, coordinate across departments, and follow through on operational tasks from planning to execution.
Office Operations & Administrative Coordination
- Oversee daily office administrative operations and ensure smooth internal coordination.
- Coordinate office facilities, housing, company vehicles, maintenance, and general workplace needs.
- Support onboarding preparation, internal administrative requests, and employee service needs.
- Identify operational issues or gaps and proactively propose practical solutions.
- Track administrative tasks, follow up with stakeholders, and ensure timely completion.
Procurement & Vendor Management
- Research, identify, and evaluate potential vendors based on business needs, cost, service quality, and reliability.
- Coordinate procurement requests, quotations, purchase orders, and vendor communication.
- Compare vendor options and provide recommendations to management.
- Maintain vendor records and support vendor performance tracking.
- Follow up on delivery timelines, service issues, invoices, and related documentation.
IT Support & System Coordination
- Provide basic IT support, including equipment setup, account coordination, Office 365 support, and basic troubleshooting.
- Coordinate with external IT vendors for technical issue resolution.
- Maintain IT asset inventory and track equipment assignment, return, and replacement.
- Support system access requests and follow up with relevant departments or vendors.
Corporate Events & Employee Support
- Plan and execute company events, employee activities, and cross-cultural programs.
- Coordinate event logistics, including venue research, catering, transportation, schedules, and on-site support.
- Work with internal teams and external agencies to ensure events are well-organized and delivered smoothly.
- Support employee engagement initiatives and administrative communication as needed.
Qualifications
- Associate’s degree or above, or equivalent work experience.
- 2–5 years of experience in administration, office operations, procurement, vendor coordination, or related fields.
- Prior experience coordinating vendors, comparing quotations, or supporting procurement processes is preferred.
- Basic IT knowledge, including Windows, Office 365, account setup, equipment coordination, and troubleshooting.
- Strong organizational, multitasking, and follow-up skills.
- Ability to work independently, take initiative, and manage tasks with minimal supervision.
- Strong communication and coordination skills.
- Comfortable working in a fast-paced and multicultural environment.
- Bilingual in English and Chinese is preferred.
