Role DescriptionThis is a full-time, on-site role based in Suffolk County for an Administrative Assistant. The Administrative Assistant will be responsible for managing office administrative tasks, providing executive-level support, handling phone communications with professionalism, and ensuring the smooth operation of day-to-day activities. The role requires excellent organizational skills and the ability to multitask in a fast-paced environment. QualificationsExperienced in using Black Diamond and or Addepar.Assist in preparing performance reports.Monitor asset allocations, cash balances, and investment restrictions to ensure portfolios remain compliant with client guidelines.Support trade execution processes by preparing trade sheets, confirming orders, and coordinating with the trading desk.Serve as a primary point of contact for client inquiries related to account status, statements, and documentation.Excellent Communication and Phone Etiquette skills to interact professionally with clients, colleagues, and stakeholders.Ability to work collaboratively and ensure efficiency in office processes.Familiarity with office software and tools; proficiency in Microsoft Office Suite is preferred.Prior experience in administrative or executive assistant roles is highly beneficial.Strong organizational skills and attention to detail are essential.Bachelor's degree in Business Administration, Communications, or a related field is a plus.Company DescriptionMTO Financial Services partners with individuals, investment advisors, family offices, hedge funds and wealth mangers to streamline their operations and enhance client retention by automating back-office tasks.
