We are seeking experienced and customer-focused Medical Support Assistants (MSAs) to support Veterans receiving care within the VA Puget Sound Health Care System. The contract supports medical administrative operations across multiple VA facilities and clinics.
Position Summary
The Medical Support Assistant (MSA) serves as a key member of the healthcare team, providing administrative and patient support services to ensure timely access to healthcare for Veterans. The MSA performs a variety of clerical, scheduling, customer service, and administrative duties in support of clinical operations.
The ideal candidate possesses strong communication skills, excellent customer service abilities, and experience working in healthcare environments utilizing electronic health record systems and patient scheduling platforms.
Essential Duties and Responsibilities
Patient Scheduling & Access
- Schedule, reschedule, and cancel patient appointments.
- Coordinate patient referrals, consults, and follow-up appointments.
- Manage clinic schedules and provider calendars.
- Verify patient eligibility and demographic information.
- Assist patients with appointment reminders and scheduling inquiries.
Customer Service
- Serve as the first point of contact for Veterans, caregivers, and visitors.
- Provide professional and compassionate customer service in person and by telephone.
- Address patient concerns and direct inquiries to appropriate clinical personnel.
- Assist with patient check-in and check-out processes.
Administrative Support
- Maintain accurate patient records within electronic medical record systems.
- Process medical documentation, correspondence, and administrative forms.
- Support clinic operations through data entry and record management.
- Monitor work queues and administrative tracking systems.
- Ensure confidentiality of patient information in accordance with HIPAA and VA regulations.
Coordination & Communication
- Collaborate with providers, nurses, and administrative staff to facilitate patient care.
- Coordinate information between departments and clinics.
- Assist with reporting and administrative workflow management.
- Support special projects and other duties as assigned.
Minimum Qualifications
- High School Diploma or GED required.
- Minimum of one (1) year of experience in a healthcare administrative, medical office, or patient support role.
- Experience scheduling appointments in a healthcare environment.
- Strong computer skills, including Microsoft Office applications.
- Ability to work effectively in a fast-paced healthcare setting.
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
Preferred Qualifications
- Experience working in a Veterans Affairs (VA), military, hospital, or outpatient clinic environment.
- Experience with electronic health record systems such as CPRS, Cerner, Epic, or similar platforms.
- Medical terminology knowledge.
- Associate degree in Healthcare Administration, Business Administration, or related field.
Security and Compliance Requirements
Selected candidates must:
- Successfully complete all required background investigations and credentialing processes.
- Complete VA-required cybersecurity, privacy, and rules of behavior training before being granted access to VA systems.
- Comply with all HIPAA, privacy, information security, and confidentiality requirements.
- Maintain annual training and compliance certifications as required by the VA.
Physical Requirements
- Ability to sit for extended periods while working at a computer workstation.
- Ability to communicate effectively by telephone and in person.
- Ability to occasionally lift office materials weighing up to 20 pounds.
