Overview: The Vendor Invoice Processing Specialist is responsible for invoice processing for Foreclosure, Bankruptcy, REO, Litigation, Property Preservation, and Eviction departments and compliance against investor guidelines. This role reviews documentation, applies allowable thresholds, identifies exceptions, and secures approvals where required to ensure accurate, timely, and compliant disbursements. The Associate III independently resolves complex issues, mitigates operational risk through rigorous quality controls, recommends process enhancements, and provides peer training and mentorship as needed. The position requires strong judgment, attention to detail, and the ability to navigate competing priorities while supporting downstream operational efficiency. Primary Responsibilities: Process, validate, and post invoices in accordance with internal controls and service-level agreements (SLAs). Ensure correct mapping (GL, cost center, project, investor/loan attributes) and timely payment execution. Review and interpret investor and client guidelines; apply allowable limits and business rules to each line item Identify items exceeding allowables; secure and document required approvals prior to payment. Proactively flag discrepancies, document gaps and over allowable billing. Research root causes, collaborate with internal teams and vendors, and execute corrective actions to resolution. Obtain and attach supporting approvals (e.g., over‑allowable justifications) to invoice line items. Maintain auditable documentation and clear, consistent notes for all decisions and exceptions. Escalate potential compliance or financial risks with recommended remediation steps. Monitor changes to investor/client requirements and translate into actionable process updates and job aids. Serve as a subject matter resource; coach and train peers on guidelines, allowables, and exception handling. Communicate clearly with vendors and internal partners (Operations, AP, Compliance, Audit) on status, requirements, and decisions. Ensure professional, timely responses to inquiries and audit requests. Maintain accurate work queues and dashboards; contribute to weekly/monthly operational reporting.
