Wellness Administrator

 

PURPOSE

The Wellness Administrator provides leadership and oversight for the school’s Wellness Center and related student support services to ensure students have access to comprehensive, high-quality mental health and wellness supports. This position is responsible for coordinating school-based wellness programs, supervising wellness staff, and collaborating with school and district teams to promote student well-being, safety, and academic success. The Wellness Administrator plays a critical role in fostering a trauma-informed, equitable, and supportive school environment where students feel safe, connected, and prepared to learn.

 

SUPERVISION

Reports to: Chief, Pupil Services & Special Education or designee

Supervises: Social Work and Counseling Interns, Bachelor Social Workers

 

ESSENTIAL FUNCTIONS

  • Provide overall leadership and administrative oversight of the school’s Wellness Center and related student wellness support services
  • Develop, implement, and monitor wellness programs that address students’ academic, social-emotional, behavioral, and mental health needs .
  • Ensure services align with district policies, state guidelines, and best practices in school-based mental health.
  • Supervise wellness center staff, which may include mental health clinicians, interns, and support personnel
  • Provide coaching, feedback, and professional growth opportunities for wellness, site, and district staff.
  • Facilitate regular CARE team meetings, attendance meetings, team meetings, and case consultation to support high-quality services.
  • Oversee referral, intake, triage, and follow-up processes for students accessing wellness services.
  • Develop and maintain effective communication systems with counselors, administrators, teachers, outside agencies, support staff, and the community.
  • Monitor high-risk cases and ensure appropriate response protocols are followed.

  • Support family outreach and engagement related to student wellness and mental health.
  • Develop partnerships with external agencies to expand services and resources.
  • Collaborate with school leadership to promote a positive school climate and trauma-informed practices.
  • Provide staff training on student mental health, wellness resources, and referral processes.
  • Participate in school leadership teams, SSTs, IEP meetings (as participant and admin designee), district wellness initiatives, and other site and district meetings as appropriate.
  • Collect and analyze data to assess program effectiveness and student outcomes.
  • Prepare reports for school and district leadership as required.
  • Complete ongoing Medi-Cal, ERMHS billing and/or Fee Schedule billing/documentation according to county mental health guidelines, maintaining daily billing requirements, and completes mental health assessments in a timely manner
  • Maintain accurate records. Communicate effectively in verbal and written form.
  • Is present on the school premises during school hours and a reasonable time before and after school hours, unless absent on school business or with knowledge and permissions of the site administrator and/or district administration.
  • Performs other related duties as assigned, including supervisory and advisory duties, for the purpose of ensuring the efficient and effective functioning of the school site.

 

JOB REQUIREMENTS: MINIMUM QUALIFICATIONS

 

Education:

  • Possession of Pupil Personnel Services Credential in School Social Work, Psychology, or School Counseling
  • Valid California Board of Behavioral Sciences (BBS) license or registration: Associate Marriage Family Therapist (AMFT), Licensed Marriage and Family Therapist (LMFT), Associate Clinical Social Worker (ACSW), or Licensed Clinical Social Worker (LCSW)

 

Experience:

  • Three (3) years of school-based mental health, student support services, or a related educational setting.
  • One (1) year supervising or coordinating staff, interns, or multidisciplinary teams. Wellness Administrator

Required Knowledge and Skills:

  • Adolescent development and the social, emotional, behavioral, and mental health needs of high school–aged students.
  • School-based mental health systems and best practices for delivering student wellness and support services in a K–12 setting.
  • Multi-Tiered Systems of Support (MTSS), including Tier 1, Tier 2, and Tier 3 interventions.
  • Trauma-informed practices, restorative practices, and strengths-based approaches to student support.
  • Crisis intervention protocols, suicide risk assessment procedures, and school safety response processes.
  • Federal and state laws and regulations related to student services, including FERPA, HIPAA, mandated reporting requirements, and confidentiality standards.
  • Ethical standards relevant to school-based mental health professionals and administrators.
  • School systems and structures, including SSTs, IEP/504 processes, and collaboration with special education and student services teams.
  • Culturally responsive and equity-centered practices that support diverse student populations.
  • Data collection, documentation, and program evaluation methods used to assess student outcomes and service effectiveness.
  • Effective supervision and team leadership practices within a multidisciplinary environment.
  • Professional communication practices for working with students, families, staff, and community partners.
  • Applicable education codes, district policies, and confidentiality requirements

Work Environment:

  • Office environment at a school site or central office
  • Frequent interruptions and interaction with students, parents, staff, and the public

 

Physical Demands:

  • Dexterity of hands and fingers to operate a computer keyboard

  • Seeing to read documents and monitor screens
  • Hearing and speaking to exchange information

 

LICENSES AND OTHER REQUIREMENTS

  • Valid California Driver’s License
  • DOJ/FBI fingerprint clearance
  • TB test clearance

Salary Range: DMA Range 10

FLSA Status: Exempt
