Role and Responsibilities
- Work closely with Turnkey Operations Team to assist in Estimating and customer presentation.
- Review database and provided documents to ensure accurate set-up of TK projects utilizing Vista Viewpoint and SharePoint.
- Manage and execute change orders, updating WO/SP files with information.
- Work closely with the Turnkey Operations Team to coordinate the installation schedule.
- Manage/execute the essential TK field team support functions: sending appointments, reviewing notes, etc., to include Vista training and guidance to the field team.
- Generate POs and assist with procuring equipment/materials.
- Execute and maintain reports such as Open Call Reports, Cost vs. Estimated, and others as needed/requested.
- Schedule, host, and attend team & customer meetings and provide data as requested.
- Assist Project Manager with reporting, permit & inspection requests.
- Prepare and submit timely billing documents, AIA applications, billing in customer portals, oversee & correct invoices, billing errors, and account collections as needed.
- Submit billing through customer portals, as required.
- Assist with accounts payables and receivables, including communicating with vendors and customers regarding invoices and billing errors.
- Work with the Turnkey Operations Team to assist in generating and providing complete closeout documentation and warranty coverage.
- Work with the Turnkey Operations Team and Service Manager to review PM Agreement opportunities.
- Assist in reviewing and maintaining cost estimates of material, subcontractors, purchased equipment, and other TK project-related activities.
- Document work by maintaining files for each job.
- Assist/Provide documentation for internal and external auditors.
- Assist the Accounts Receivable Department with account collections.
- Monitor and respond to email requests.
- Collaborate with the Service Coordination team, Operations Manager, and TK team.
- Other such duties and responsibilities as assigned by the Company from time.
Qualifications and Requirements
- Demonstrated proficiency in MS Office (Outlook, Excel, Word), SharePoint, and basic Windows environment.
- Knowledge of basic accounting and business principles.
- Ability to work with diverse teams.
- Excellent written and verbal communication skills.
- Ability to positively represent the company and communicate with others at varying technical levels.
- Ability to learn and become proficient with Service Management software and financial accounting systems within the timeframe of training period.
- Strong organizational skills.
- Ability to work as a member of the Service Coordination Team.
- Must have excellent attention to detail and a high sense of urgency.
- Understanding of general service and/or construction industry.
- Knowledge of HVAC Service, Fire & Security Service, and Controls Service preferred
- Knowledge of Viewpoint Vista/WennSoft/Key2Act, a plus.
- Associates degree in business administration, accounting, or another related field a plus.
- Physical Demands: Constant sitting, walking short distances, bending, stooping, twisting, reaching above and/or below shoulder, handling/grasping documents or office equipment, clear speaking and adequate hearing sufficient to communicate effectively and respond appropriately in-person and/or on the telephone, vision sufficient to read source materials and computer screen data, repetitive motions for computer equipment use, lift 25 lbs. occasionally, 5-10 lbs frequently to lift/carry/move objects, files and documents.
- Must successfully pass a background check & drug test.
Work Environment: Work is performed in an open office environment with conditioned air and bright lights.
