I. Purpose of the Role
This position supports the daily flow of communication, scheduling, and record-keeping that allows our swim instructors to focus on teaching and our families to enjoy a smooth, stress-free experience. This role plays a vital part in creating a warm, organized, and professional front office environment.
II. Key Responsibilities
Scheduling & Calendar Management:
Coordinate class schedules, instructor availability, and family appointments to ensure optimized schedules with minimal conflicts.
Email & Communication Management:
Manage the inbox, respond to inquiries, and provide timely, friendly follow-up to ensure prompt, clear, and professional communication.
Data & Record Keeping:
Maintain accurate and up-to-date records for students, billing, and swim progress to ensure organized files and systems.
Administrative Support:
Support enrollment processing, billing, incident tracking, and instructor coordination to maintain smooth day-to-day office operations.
Parent & Staff Support:
Serve as the primary point of contact for parent questions, ensuring high satisfaction for families.
Team Support & Coordination:
Support colleagues in similar roles and collaborate with other staff members to maintain clear workflows, complete tasks, and ensure smooth daily operations.
Front Area Maintenance & Organization:
Maintain a clean, organized, and welcoming front area to ensure a professional environment for students, families, and staff.
III. Required Skills & Qualifications
- Excellent organizational and multitasking skills
- Strong communication skills with a calm and friendly tone
- Experience with scheduling software, CRMs, and G-Suite tools
- Ability to remain composed under pressure and solve problems quickly
- Experience in customer service, or a similar setting preferred

- Availability during peak swim hours, including evenings and weekends

Pay: $18.00 - $20.00 per hour
