Position Title: Administrative Assistant (Non-State Service)

Position Summary:

The Administrative Assistant serves as a key member of the administrative team by providing professional clerical and administrative support to the department. This position requires exceptional organizational skills, excellent telephone etiquette, strong attention to detail, and the ability to manage multiple assignments while maintaining confidentiality. The successful candidate must be highly task-oriented, dependable, and capable of working independently in a fast-paced environment.

Essential Duties and Responsibilities

  • Answer and direct incoming telephone calls in a professional, courteous, and efficient manner.
  • Greet visitors and provide excellent customer service to the public, employees, and agency partners.
  • Organize and maintain electronic and paper filing systems.
  • Schedule meetings, appointments, and maintain calendars for assigned staff.
  • Prepare correspondence, reports, spreadsheets, forms, and other documents with a high degree of accuracy.
  • Receive, sort, and distribute incoming mail and process outgoing correspondence.
  • Maintain office supplies and coordinate purchases as needed.
  • Track assignments, deadlines, and follow-up items to ensure timely completion.
  • Assist with data entry and maintenance of agency databases and records.
  • Coordinate travel arrangements and process travel-related documentation when required.
  • Maintain confidentiality of personnel, financial, and other sensitive information.
  • Assist with special projects and perform other administrative duties as assigned.

Required Knowledge, Skills, and Abilities

  • Excellent organizational and time management skills.
  • Strong telephone etiquette and interpersonal communication skills.
  • Ability to prioritize multiple tasks and meet deadlines with minimal supervision.
  • Detail-oriented with a commitment to accuracy.
  • Strong customer service skills and a professional demeanor.
  • Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and Teams.
  • Ability to learn agency-specific software and procedures.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Excellent written and verbal communication skills.
  • Ability to work effectively as part of a team while also functioning independently.

Minimum Qualifications

  • High school diploma or GED required
  • Experience using standard office equipment and computer software.

Preferred Qualifications

  • Experience in a government or public service environment.
  • Experience scheduling meetings, maintaining records, and handling confidential information.
  • Demonstrated ability to manage multiple priorities with minimal supervision.

Working Conditions

  • Primarily an office environment.
  • Frequent use of computers, telephones, and other office equipment.
  • Occasional lifting of office supplies and files up to 25 pounds.
  • Regular attendance and punctuality are essential functions of this position.

Job Type: Part-time

Pay: $14.00 - $18.00 per hour
