The Operations & Accounting Coordinator manages the day-to-day flow of construction
projects, ensuring efficient coordination across permits, inspections, and office
operations. This role also supports key accounting functions, including transaction
tracking, receipt management, and payroll coordination, to maintain financial accuracy
and keep projects on track.
Key Responsibilities
Permits & Municipal Coordination
• Verify property jurisdiction and city requirements
• Prepare and send permit documents to owners for signature
• Manage DocuSign contracts and follow-ups
• Submit permits and track approval status daily
• Respond to city comments and coordinate corrections
• Upload and organize all documents in Dropbox
• Maintain permit database (project number, address, status, notes)
• Record and manage Notice of Commencement (NOC) filings.
While the majority of permits are processed online, occasional in-person visits to
municipal offices may be required. Reimbursement for mileage and fuel will be
provided.
Inspections Coordination
• Schedule inspections with each municipality
• Update Buildertrend schedules and assign responsibilities
• Provide daily inspection reports (7:00 AM – 8:30 AM) including:
o Full address
o Permit number
o Inspector name & contact
Office Coordination
- Monitor office supplies (weekly)
- Place monthly orders for materials and supplies
- Maintain organization of office operations
- Accounting & Financial Tracking (QuickBooks)
- Download and reconcile daily bank transactions
- Maintain transaction logs in Excel
- Upload and classify transactions in QuickBooks
- Match receipts with purchases and ensure proper documentation
- Track missing receipts and follow up daily with responsible team members
Receipts & Documentation Management
- Collect, scan, and upload receipts to project folders
- Label files properly (date, vendor, invoice number)
- Maintain physical and digital filing systems
- Ensure all receipts are submitted and accounted for
Payroll Coordination
• Prepare weekly and bi-monthly check distributions:
o Weekly payments (Fridays)
o Scheduled payments (1st and 15th of each month)

- Bilingual (English / Spanish)
- Competitive: $50,000.00 - $60,000.00
- Permits: $50 Extra per Permit Approved.
- Sales: Sales commission offered by sales.
- Reimbursement for mileage and fuel will be provided if municipalities visits are required.
