Executive Sales Assistant

Position Overview

MRCOOL is seeking an organized, motivated, and detail-oriented Executive Sales Assistant to support the Sales Department and assist with day-to-day sales operations. This position will work closely with MRCOOL’s dealer network, internal departments, and external partners to help facilitate sales, communication, product information, and special projects.

The ideal candidate is a self-motivated problem solver who is comfortable working with data and spreadsheets, communicates effectively with a wide range of people, and is eager to learn new systems, processes, and skills. This is a hands-on position that requires the ability to manage multiple priorities while maintaining a high level of accuracy and attention to detail.

Key Responsibilities
Responsibilities include, but are not limited to:

• Interact with and support a network of MRCOOL dealers across the country regarding sales, product information, account support, and other communications.
• Assist the Sales Department with day-to-day administrative and operational activities.
• Assist in maintaining and managing product data across internal and external systems.
• Work with spreadsheets, formulas, and data to organize, analyze, and maintain sales and product information.
• Assist with order processing and other sales-related processes as needed.
• Coordinate and assist with projects involving Sales, Marketing, Operations, Customer Service, IT, and other internal departments.
• Assist with communications and collaborative projects involving external partners and customers.
• Research information and help identify solutions to sales, product, or operational issues.
• Help develop, maintain, and improve processes, reports, and other tools used by the Sales Department.
• Learn and utilize new software, technology, and systems as business needs evolve.
• Perform other duties and special projects as assigned.

Skills & Qualifications
Required:

• Experience using Microsoft Excel or Google Sheets, including formulas and data manipulation.
• Strong written and verbal communication skills.
• Strong teamwork and collaboration skills.
• Critical thinking and problem-solving abilities.
• Self-motivated with the ability to work independently and manage multiple priorities.
• Strong attention to detail and accuracy.
• Willingness and ability to learn new systems, processes, and skills.
• Ability to communicate professionally with customers, dealers, vendors, and internal team members.

Preferred:

• Basic knowledge of HVAC equipment and terminology.
• Experience with NetSuite or other ERP systems.
• Experience with EDI and/or order processing.
• Experience using basic Adobe Photoshop functions.
• Experience developing or using AI prompts and AI tools.
• Previous experience in sales support, sales operations, customer service, or a related field.
• Experience working with product data or e-commerce platforms.
