What are the responsibilities and job description for the Assistant Property Manager position at MRA Group?
The Assistant Property Manager serves as the primary support to the Property Manager at the Kutztown University (KU) portfolio and acts as a key liaison across property management, facilities, project management, and internal departments. This role is responsible for helping ensure seamless day-to-day operations, supporting capital projects, and maintaining strong relationships with students, clients, vendors, and internal stakeholders.
The Assistant Property Manager represents the Property Manager when needed and plays a critical role in delivering best-in-class property management services aligned with ownership objectives.
Responsibilities:- Act as the on-site representative supporting the Property Manager to ensure all property management obligations are met or exceeded. Assist in overseeing daily operations, including maintenance, safety/security, risk management, landscaping, snow removal, and general building operations.
- Support the development and administration of annual operating and capital budgets aligned with ownership goals. Monitor financial performance, identify variances, and assist in implementing corrective actions to enhance property performance and profitability.
- Serve as a liaison to Facility Management, supporting ongoing capital projects and vendor coordination at KU. Participate directly in project execution as needed, including tracking budgets, schedules, and project-related accounting.
- Maintain accurate, complete, and well-organized property records in accordance with company standards. Coordinate with teams to ensure proper documentation, reporting, and information flow. Prepare and deliver timely and detailed status reports for all KU properties.
- Coordinate with Facilities Management on work orders, service requests, and communication. Assist in establishing and maintaining emergency response protocols and vendor relationships. Participate in on-call coverage as required.
- Support oversight of on-site maintenance staff and vendors. Assist in developing service specifications, evaluating vendor performance, and ensuring quality standards are met. Help forecast and plan for major capital replacements (e.g., HVAC, roofing, paving) and ensure compliance with routine inspection requirements.
- Collaborate with internal departments to ensure a coordinated and team-oriented approach to property management.
- Foster strong working relationships across teams and actively participate in project and operational meetings. Prepare meeting materials and lead meetings when appropriate.
- Stay informed of industry trends, emerging technologies, and best practices in property and facility management.
- Full-time availability, Monday through Friday (8:30 AM – 5:30 PM), with flexibility for after-hours and on-call responsibilities as needed.
- Bachelor’s degree or equivalent combination of education and relevant vocational/technical experience required.
- Capable of performing occasional physical activities such as climbing ladders, inspecting roofs, navigating uneven terrain, and conducting property inspections.
