Position: Patient Services Representative

Department: Front Desk

Job Summary: Seeking detail-oriented individual with exceptional customer service skills and positive attitude.

Primary Duties:

  • Warmly welcome patients and visitors, creating a positive first impression.
  • Check patients in for appointments, verifying information and updating records.
  • Maintain and update patient records, ensuring accuracy and confidentiality.
  • File and retrieve medical records and other documents.
  • Document pertinent patient information in the electronic medical record as it relates to job function
  • Coordinate with various providers, team members and outreach team regarding scheduling
  • Assist patients with completing necessary forms and paperwork.
  • Maintain a clean and organized reception area.
  • Schedule, reschedule, and confirm patient appointments.
  • Manage the appointment calendar efficiently, optimizing provider time and resources.
  • Coordinate appointments with other healthcare providers and facilities.
  • Notify clinical staff of patient arrivals and any delays.
  • Answering in coming calls and scheduling patients for appropriate physician
  • Responds effectively to incoming patient calls and communicates pertinent information to designee to provide for continuity and optimal care
  • Support the Clinical team in chart preparation and request for medical information
  • Use, protect, and disclose patients’ protected health information (PHI) only in accordance with Health Insurance Portability and Accountability Act (HIPAA) standards
  • Collect co-pays and payments from patients.
  • Assist with insurance verification and billing inquiries.
  • Maintain inventory of office supplies and coordinate reordering.
  • Perform other clerical and administrative duties as needed.

Experience and Education Requirements:

  • High school diploma or general education degree (GED)
  • Must possess strong computer skills
  • One-year related experience in the medical office
  • Prefer experience in an ophthalmology practice and experience with Nexgten Scheduling system.

Necessary Knowledge, Skills and Abilities:

  • Strong written and verbal communication skills.
  • Ability to actively listen.
  • Ability to observe and to draft a narrative account of events accurately and cogently, in grammatically-correct English.
  • Strong attention to detail.
  • Ability to problem solve under pressure.
  • Ability to communicate and interact professionally with others.
  • Understanding of and commitment to appropriate protection of confidential patient information.
  • Ability to work a flexible work schedule, and a willingness to rotate to various worksites as needed.

Physical Abilities: Requires full range of body motion. Involves standing and walking. Occasional lifting of heavy items. Normal visual acuity and hearing are required.
