Overview
We are seeking a highly organized and proactive Operations Assistant to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation by providing support of Field Operations in the preparation and/or execution of bids, estimates, and contracts, work scheduling, field coordination, assistance with Administrative needs, and the periodic reporting of results to Management. This position requires excellent communication skills, attention to detail, and the ability to multitask.
Responsibilities
- Purchase of job materials for inventory and non-inventory use.
- Order operating supplies and tools.
- Maintenance of the job files.
- Maintenance of the Purchase Order system.
- Prepare and present reports as required to management.
- Maintain organized records and files using QuickBooks for financial tracking.
- Assist with Answering the telephone and provide secretarial duties, as necessary.
- Ability to respond to common inquiries or complaints from customers.
- Data Entry.
Experience
- Previous experience in an administrative or office support role is preferred.
- Familiarity with event planning and schedule management is a plus.
- Experience with vendor management and budgeting will be advantageous.
- Proficiency in QuickBooks is desirable.
- Experience using Microsoft Excel and Word software
- Strong organizational skills with the ability to prioritize tasks effectively.
- Excellent verbal and written communication skills to interact with team members and vendors.
