MAC, INC. PROFESSIONAL EXPECTATION STATEMENT:

In the performance of your respective tasks and duties all employees are expected to confirm to the following:

POSITION PURPOSE:

To administer employee benefits programs, leave-of-absence claims, and the company's DOT/FAA Drug & Alcohol Testing Compliance Program in a professional, accurate, and confidential manner. The job entails providing support across the full benefits lifecycle — including new hire enrollment, open enrollment, FMLA and workers' compensation claims administration, COBRA, and benefits invoicing — as well as administering pre-employment and random drug and alcohol testing in accordance with 49 CFR Part 40 and 14 CFR Part 120, along with backup onboarding support as needed.

The successful individual will possess a positive attitude, un-questionable integrity, excellent customer service and be detail oriented. In addition, be able to demonstrate the ability to learn new material and software packages quickly as well as a strong commitment to process driven outcomes and the ability to work with sensitive, confidential information. This position reports to the VP of HR.

RESPONSIBILITIES/DUTIES:

Drug & Alcohol Testing Program Administration (Compliance)

  • Administer pre-employment drug testing for all new hires and safety-sensitive employees, ensuring a negative result is received and documented before any employee performs a safety-sensitive function, in accordance with 49 CFR Part 40 and 14 CFR Part 120.
  • Manage the random drug and alcohol testing program, including maintaining the random testing pool/roster, coordinating random selections, and ensuring testing rates meet DOT/FAA minimum annual percentages.
  • Reconcile the drug and alcohol testing roster against the employee roster to confirm all safety-sensitive employees are properly enrolled in the testing pool.
  • Coordinate reasonable suspicion, post-accident, return-to-duty, and follow-up testing as required.
  • Maintain drug and alcohol testing records in accordance with DOT/FAA recordkeeping and retention requirements; serve as a point of contact supporting the Designated Employer Representative (DER).
  • Liaise with third-party administrators (TPAs), collection sites, and Medical Review Officers (MROs) on testing logistics and results.
  • Respond to inquiries from the FAA Drug Abatement Division and other regulatory bodies as needed.

Benefits & Leave Administration

  • Assist in administering FMLA and workers' compensation claims across all MAC entities, including obtaining claim numbers and maintaining trackers for Short-Term and Long-Term Disability claims.
  • Serve as a point of contact for employee benefits questions (health, dental, vision, life, disability, and retirement).
  • Process qualifying life event changes, COBRA notices, and COBRA terminations.
  • Support annual open enrollment, including employee communications, system setup, and enrollment questions.
  • Maintain accurate benefits and leave records in the HRIS; track leave balances and return-to-work dates.
  • Partner with payroll to ensure accurate benefit deductions and leave-related pay actions.

Additional HR Support Duties

  • Termination process - all companies.
  • Process contractors for MVR background check and AirT's new hire E-verification.
  • Responsible for Employment Verification and Incoming Calls.
  • Assist with monthly MAC badges, tracking Birthdays and Anniversaries.
  • Filing all paperwork and maintains/audits employee records and files.
  • HR Related - Receiving and mailing.
  • Back-up onboarding and related duties.
  • Supports other projects and objectives as required.

QUALIFICATIONS:

  • Bachelor's Degree Preferred
  • Working knowledge of FMLA, ADA, COBRA, and benefits/leave compliance requirements preferred.
  • Working knowledge of DOT/FAA drug and alcohol testing regulations (49 CFR Part 40, 14 CFR Part 120) preferred.
  • Experience with benefits administration platforms/HRIS preferred.
  • Proficient in Microsoft Office applications (Outlook, Excel, PowerPoint, Word) with intermediate to advanced Excel skills.
  • Ability to work under pressure in a fast-paced, highly regulated, time-sensitive environment with shifting priorities and multiple deadlines while staying organized and calm.
  • Excellent communication and interpersonal skills.

  • Strong attention to detail.
  • Ability to organize and prioritize work with a high sense of urgency.
