Project Coordinator II (Communications, Marketing, & Admin Support) – Department of Pediatrics, Icahn School of Medicine at Mount Sinai, Mount Sinai Health System Careers

The Marketing Project Coordinator II for the Department of Pediatrics assists in administrative support needed for the department and with creating and executing plans for complex communications and marketing projects which fall outside the regular operations of the department. The Project Coordinator II follows projects through all phases including development of the project plan, ensuring adherence to the plan. The Project Coordinator II also has oversight of the project budget. A project by definition must have a timeline with a beginning and end date. Ideal candidates should have an interest in long-term growth in healthcare marketing.

Primary Duties:

1. Establishes the coordination of complex project activities and ensures the quality, timeliness, and integrity of ongoing projects including coordination, schedules, budgets, payments, and tracking.

2. Complex marketing and communication projects are typically large in scope affecting several services, programs, and locations within the Department of Pediatrics, as well as Central Marketing and other departments within the health system, requiring detailed oversight and collaboration.

3. Develops and maintains project and event budgets, monitor budget expenses and ensures that payments are completed and accurately charged to the project. These projects may include administrative tasks.

4. Assists with monitoring social media accounts and analytics and creating children’s health related content for our B2C audiences (patients & families and referring physicians).

5. Contributes ideas to marketing tactics, campaigns, etc., and assists with research and information gathering.

6. Develops, plans, and coordinates from start to finish the execution of events and conferences such as the annual Mount Sinai Child Health Research Day, Pediatric Academic Societies Conference, and other events as needed. Tasks may include and are not limited to event budget management; organizing and overseeing event planning meetings; collateral preparation/printing, as well as creation/deployment of event invitations; travel, space, and food arrangements; etc.

7. Partners with pediatrics staff and physicians, central marketers, outside contractors, vendors and consultants as required with respect to the project.

8. May be responsible for financial management items, including supply and collateral orders, payment authorizations etc. to complete projects and requests.

9. Schedules and facilitates project-related meetings, including the creation of agenda, preparation of materials including PowerPoint presentations, and meeting minutes.

10. Monitors project deliverables and timelines, notifies management when issues arise, provides feedback to communicate project findings, and takes corrective actions, as needed.

11. Maintains detailed records and documentation of project activity and may be responsible for developing uniform procedures for storing and keeping appropriate documentation. This includes organizing and updates to departmental directories, physicians’ profiles, and hospital and school websites.

12. Manages internal communications and department email distribution list serv accounts. This may include editing and approving emails to go out, updating email recipients in the list serv, and sending out emails as requested by leadership.

13. May work with the participating members of the project to ensure all necessary communications are made timely and accurately.

14. Assist with physician outreach program needs.

15. Performs other related duties.

Requirements:

1. Minimum N/A Preferred N/A Actual Bachelor's degree required, or equivalent education and work experience.

2. Previous Experience: 3 years of experience required. Excellent written and oral communication skills. Excellent organizational skills and the ability to prioritize multiple tasks, projects and assignments. Exceptional attention to detail and accuracy.
