EXECUTIVE SUMMARY:
Payroll Specialist is responsible for the accurate and timely processing of District payroll and benefits.
ESSENTIAL FUNCTIONS:
- Payroll duties:
- Set up new employees in Software Unlimited. Input tax and benefit information.
- Update employee leaves as they are earned.
- Set up new employees in the Frontline time clock system
- Process monthly payroll
- Collect and verify timecards/sheets from hourly employees. Import hours from time and attendance system (Frontline). Upload absence files into payroll system.
- Process monthly payroll. Run and verify payroll reports.
- Print payroll checks. Send direct deposit file to the bank two to three days before payday depending on their deadline.
- Run monthly payroll summary reports and give them to Director of Finance for tax deposits.
- Complete monthly payroll checklist and give reports to Director of Finance. Send IPERS qualification letter and form to those who qualify. Generate IPERS monthly file.
- Complete quarterly payroll checklist and give reports/files to Director of Finance.
- Provide W-2 reports to Director of Finance to reconcile tax deposits. After reconciliation, print W-2's at calendar year-end and create file for Director of Finance.
- Respond to employee verification of employment requests received by the District from outside sources.
- Assist with Affordable Care Act tracking and reporting
- Assist in maintaining permanent files and scanning into the K12 Docs system.
- Import payroll reports into K-12 Docs.
- Negotiations/Contracts:
- Maintain salary schedules
- Run costing scenarios as requested by the Director of Finance or Superintendent
- Process and print employee contracts
KNOWLEDGE SKILLS AND ABILITIES DESIRED:
Preferred Education and Licensure:
- Prefer accounting experience
- High School Diploma
Knowledge and Skills:
- Willingness to work outside of normal business hours.
- Interpersonal skills that exhibit friendliness, tact, patience and courtesy.
- Excellent written and verbal communication skills.
- Excellent organizational, multi-tasking, and prioritizing skills.
- Proficient in use of technology (e.g. Microsoft office products, Google products, e-mail, copier/scanner and telephone.)
- Must be flexible and adaptable to meet the daily requirements of the position.
- Ability to work independently and in a team environment with accuracy and with attention to detail.
- Willingness to attend professional growth sessions for the purpose of keeping his/her professional human resource knowledge current with changing laws and regulations

TERMS OF EMPLOYMENT:
- Twelve-month contract. Work year and salary as established by the Board of Directors.
EVALUATION:
The Payroll Specialist will be evaluated by the Director of Finance at least annually in accordance with law, board policy, and the preceding job description.
