General Qualifications:

The Payroll and Recruiting Specialist role is responsible for accurately processing MH payroll and maintaining MH employee payroll records in compliance with federal, state, and organizational requirements. This role serves as a key liaison between Human Resources and Accounting, ensuring timely and precise compensation, tax withholdings, benefit deductions, and retirement plan contributions. The Payroll Specialist also calculates and processes camp rent charges, including prorating rent fees for staff entering or leaving seasonal and other housing. In addition, this role prepares payroll-related changes, reconciles benefit invoices with current benefit enrollment, assists with reporting and audits, and provides responsive support to employees regarding payroll inquiries.

 

The Payroll and Recruiting Specialist is a Ministerial position. Ministerial staff render their work, stewardship, relationships and behavior as evidence of being followers of Jesus Christ while embracing and affirming MHA’s Christian mission, vision, beliefs and standards of conduct. They are responsible for defining, cultivating and leading MHA’s Christian community, conference programs and retreats. All staff are expected to join gatherings, which includes prayer, worship, and Bible-centered teaching. 

 

Key Job Accountabilities:

  • Process Payroll: Accurately prepare and process bi-weekly payroll cycles, including off-cycle and manual checks, ensuring compliance with federal, state, and organizational policies.
  • Maintain Payroll Data: Enter, review, and update payroll system records for employee information such as salaries, hourly rates, time worked, paid leave, deductions, benefits, address changes, and terminations.
  • Ensure Compliance: Monitor and ensure accurate calculation and withholding of federal, state, and local taxes, benefits, garnishments, and other deductions.
  • Calculate Camp Rents: Accurately calculate, record, and adjust camp rent charges, including prorating rent fees for staff entering or leaving seasonal and other housing.
  • Payroll and Benefit Reconciliation: Prepare payroll-related changes and perform regular reconciliations of benefit invoices.
  • Administer Retirement Plans: Process employee 403(b) election changes, contributions, and funding in alignment with plan requirements and deadlines.
  • Manage Payroll Corrections: Research and resolve payroll discrepancies; issue or reissue checks and direct deposits as needed for adjustments, errors, or employee separations.
  • Handle Tax Filings: Record and process federal and state payroll tax deposits and assist with preparing and submitting year-end government forms (e.g., W-2, 1099, EEO-1, etc.).
  • Reporting: Generate and distribute payroll-related reports for management, finance, and HR as needed.
  • Support Audits: Provide payroll documentation and support internal and external audit processes.
  • Employee Changes: Ensure accurate and timely processing of new hires, terminations, employee status changes, and other personnel updates impacting payroll (i.e. Benefit Enrollment, QLE, COLA, garnishments, etc.)
  • Conduct preboarding and onboarding activities: including, but not limited to: (1) pre-employment requirements such as work permits, background investigations and reference checks; (2) coordinating new hire requirements with Marketing, IT and Facilities departments; (3) ensuring accurate completion of all required paperwork and verification requirements (W-4, I-9, etc.); and (4) prepare employee ID badges as needed
  • Act as subject matter expert for the online application and onboarding platform and process, including training other MHA staff.
  • Other Duties: Perform other payroll and HR-related responsibilities as assigned to support departmental and organizational goals.

 

Education/Certifications/Licenses:

  • College graduate in Accounting, Business Administration, Communications or Psychology is preferred.
  • Equivalent combination of Organizational Development education, training, and experience is preferred.

 

Work Experience:

  • Minimum of one year in human resources and/or payroll processing is preferred.
  • Experience with Paycom, our integrated payroll software systems is preferred.
  • Experience working in an administrative and collaborative environment.
  • Previous camp experience desirable.

 

Knowledge, Skills and Abilities:

  • Must have good written and verbal communication skills.
  • Excellent organizational skills and attention to detail.
  • Proficient with Microsoft Office Suite or related software.
  • Basic knowledge of employment and wage and hour law.
  • Ability to learn multiple software programs with relative ease.
  • Ability to work with current Excel spreadsheets and/or create new spreadsheets as needed.
  • Ability to establish priorities, work independently, and proceed with objectives with minimal supervision.

 

Physical Demands:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift/carry up to 20 lb. boxes for short distances.
  • Occasional standing, squatting, stooping, and twisting.

  • This role requires full-time, on-site presence.
  • Ability to maintain strict confidentiality in regard to all areas encountered in the job.

  • Satisfactory completion of background investigation, or valid work permit, as well as ability to provide proof of eligibility to work in the United States.
