About The Role

  • Overview

The Event Manager is responsible for developing a strategy to maximize event revenue for the Museum’s properties and to prepare policies and procedures for acceptable event planning and execution on and off campus. The Event Manager coordinates Museum institutional events, facility rentals, and media film requests. This role also supports all major departmental events and serves as support for Plaza activations.

What You'll Do

Essential Functions

  • Draft revenue strategy, event policies and procedures for the department.
  • Consult with customers to determine objectives and requirements for facility rental events in the Museum, Hitsville Next on the Plaza or in the Ester Gordy Edwards Centre of Excellence.
  • Lead planning and execution of the Museum’s Founder’s Day and Bass Day events
  • Lead planning and execution of all other institutional signature events including but not limited to: Annual Fundraisers, galas, golf outings, donor and or alumni appreciation events and company celebrations.
  • Work directly with the CEO, Board Fundraising Committee and other key stakeholders on events as needed.
  • Supports other departments with their events as needed.
  • Manage filming requests on the campus and supervise the activity to ensure proper use and permissions.
  • Manage event budgets by securing quotes, verifying services and reviewing billing for accuracy.
  • Coordinate services for events, such as event catering, security, parking, signage, displays, audio/visual equipment, equipment drop off and pick up, restroom facilities such as portable toilets, and janitorial.
  • Confer with the appropriate Museum staff to discuss the needs to execute on and off campus events successfully (as needed).
  • Maintain records of event aspects, including financial details.
  • Conduct walkthroughs with customers before and after events to ensure facilities are in the same condition they were found in prior to the event.
  • Review rental contract with customers and provide a list of approved vendors and caterers to customers.
  • Monitor event activities to ensure compliance with applicable regulations and laws, satisfaction of customers, and resolution of any problems that arise.

Qualifications

Competencies

  • Knowledge of business and management principles involved in strategic planning, resource allocation, productions methods, and coordination of people and resources.
  • Knowledge of principles and processes for providing customer service and personal services. This includes customer needs assessment, meeting quality standards for service delivery, and evaluation of customer satisfaction.
  • Knowledge of media production, communication, and dissemination techniques and methods. This includes alternative ways to inform and entertain via written, oral, and visual media.
  • Ability to actively listen to others, without interrupting, and ask good questions.
  • Excellent written and verbal communication skills.
  • Must be detail oriented.
  • Must have good time management skills.
  • Able to use logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to solve problems.
  • Proficiency in Microsoft Office Suite and Neon CRM or related CRM required.

Work Environment

This position operates in an office setting and a public environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, scanning equipment, and filing cabinets.

Physical Demands/Strength

While performing the duties of this position, the employee is regularly required to talk and listen. This position frequently requires walking and sitting. Occasionally, this position is required to stoop, kneel, and use repetitive motions and eye/hand/foot coordination. The position requires light to medium work with physical effort.

Environmental Conditions

Moderate conditions.

Position Type/Expected Hours of Work

This position requires weekend work and some evenings.

Salaried.

Travel

Some travel to events. Must have reliable transportation and a valid driver license.

Education/Experience

  • Bachelor’s Degree in related field
  • 2 – 4 years’ experience planning and executing medium to large scale events
