Responsibilities
- Manage daily office operations, including scheduling appointments, coordinating repair timelines, and maintaining an organized front desk environment
- Oversee vendor management by liaising with parts suppliers, service providers, and other external partners to ensure timely deliveries and quality service
- Handle bookkeeping and accounting tasks using QuickBooks or similar financial software to manage invoices, payments, payroll, and expense tracking
- Maintain accurate records of customer interactions, repair orders, billing information, and confidential company data with strict attention to detail
- Coordinate human resources functions such as onboarding new employees, managing employee files, and ensuring compliance with workplace policies
- Utilize Microsoft Office tools and spreadsheets for budgeting, reporting, scheduling, and data analysis to support informed decision-making
- Manage office supplies inventory and oversee filing systems to ensure a well-organized workspace that promotes efficiency
- Implement effective communication strategies via multi-line phone systems and client communication channels to enhance customer satisfaction
- Support event planning for staff meetings or community outreach initiatives that promote team engagement and brand visibility
Experience
- Proven supervisory experience in an office or administrative environment within the automotive repair industry or a related field
- Strong proficiency in QuickBooks or comparable accounting software for bookkeeping and payroll management
- Demonstrated expertise in schedule management and vendor relations to streamline operations and foster reliable partnerships
- Extensive clerical experience including filing systems, multi-line phone handling, calendar management, and front desk duties
- Excellent communication skills with the ability to handle confidential information discreetly while providing exceptional customer service
- Familiarity with human resources practices such as onboarding, training & development programs, and employee recordkeeping
- Technical proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with experience using financial or accounting software for office management tasks
- Ability to multitask effectively in a fast-paced environment while maintaining organizational accuracy and attention to detail
