Position: Temp - Operations Coordinator

Reports to: Operations Manager

Hours: Temp 40 hours per week From February 2026 till June 2026

Compensation: $23.78 - $25.00 per hour

The mission of Mother Africa is to support African refugee and immigrant women and their families to reach their highest potential. Overview of Position:

This position will be responsible for assisting with the management of the offices daily operational activities, performing administrative tasks, such as making travel arrangements, answering phones, scheduling meetings, record all in kind donations and manage office supplies and oversee the maintenance of office equipment. Operations Coordinator’s responsibilities include helping the organization run smoothly and ensuring that deadlines, plans for events or anything related gets accomplished on time with no issues. Will work in a support role and oversee many administrative tasks as needed.

Job Duties:

Key aspects of the role include:

  • Serve as the primary front desk staff member; greet and welcome anyone calling or walking into the office.
  • Answer phone calls, log communications into the call log using Apricot, and screen callers for eligibility into our programs.
  • Make referrals to our internal programs, and ensure the caller or walk-in guest receives the contact information for the staff member you are referring them to.
  • Ensure that any volunteer or intern working at the front desk knows how to answer phone calls, greet walk in guests and log all communications in our tracking document
  • Serve as a liaison between staff, supporting program supervisors, managers, and executives to learn the needs and goals of the programs.
  • Ensuring that all activities conform to local, federal, industry and company standards
  • Observing, reviewing and analyzing processes to identify inefficiencies and areas where improvements could be made
  • Serve as the point person for office manager duties, including maintenance, mailing, supplies, equipment, bills, and shopping for both Federal and Kent locations, in addition to CAW.
  • Organize the office layout and order stationery and equipment.
  • Partner with HR and program manager to update and maintain office policies as necessary such as safety policies and others.
  • Coordinate with the IT team on all office equipment which include cameras functionality, phone lines and internet in both office main one and CAW
  • Ensure that all items are invoiced and paid on time for example water bottles or any other items requiring regular payment.
  • track purchases sheet and update with new payment and invoice. Keep a good track of all receipts.
  • Coordinate with IT to set up laptops for new staff, assist in onboarding with document tracking and handover devices to new hires, and track IT payments in a specific sheet.
  • Update and track donated items in MA 2026 in- Kind Donation Tracker by sending monthly email to staff requesting reporting of donated items. Copy documents and add to tracker
  • Provide general support to visitors by welcoming them, direct them where to sit, help setting the area and prepare some refreshments if needed.
  • Address employees queries regarding
  • Send monthly email to staff to ask if they need office supplies, and create inventory for office supplies, whether it's snacks or items staff need.
  • office management issues (e.g. stationery, hardware and travel arrangements)
  • Liaise with facility management vendors, including cleaning, catering and security services.
  • Plan in-house or off-site activities, like parties, celebrations and events
  • Prepare a tracking log for items, such as gift cards, and office devices
  • Attend all staff meetings and trainings, take attendance and write meeting minutes.
  • Support and assist the Directors with Board meetings and Board activities, preparation for meetings, ordering food , supplies and printing of packets etc.
  • Participate in committees and actively support tasks assigned to you.

  • Proven work experience as an Operations Coordinator or similar role
  • Good time management, prioritization, and multitasking abilities
  • Excellent interpersonal skills to build strong relationships with colleagues
  • Effective communication, including speaking, writing and active listening.
  • Able to give and receive feedback and constructive criticism from a variety of channels
  • Excellent strategic planning and problem-solving skills
  • High school diploma or equivalent

Preferred Qualifications

  • Experience working with African communities or living and working in Africa.
  • Experience working on nonprofit projects or team or events planning
