Position Overview
Motas is seeking an organized, professional, and dependable HR Assistant to support our Human Resources department. This position will report to the HR Manager and assist with recruiting, onboarding, employee records, benefits administration, attendance tracking, employee communication, and other day-to-day HR responsibilities.
Recruiting will be a major focus of the position. The HR Assistant will help manage the hiring process from the initial job posting through onboarding while also providing administrative support across the HR department.
Responsibilities
Recruiting and Hiring
- Create and manage job postings on really and other recruiting platforms
- Review applications and resumes to identify qualified candidates
- Conduct initial phone screens
- Schedule interviews with managers
- Communicate with applicants throughout the hiring process
- Maintain accurate candidate notes and recruiting records
- Coordinate reference checks, background checks, motor vehicle record checks, and other pre-employment requirements
- Assist with employment offers and start-date coordination
- Track open positions and follow up with managers regarding hiring needs
- Assist with job fairs and other recruiting initiatives
- Recommend improvements to recruiting and applicant-screening processes
Onboarding and Employee Records
- Prepare new-hire paperwork and onboarding materials
- Assist with new-hire orientation
- Confirm that required documents are completed accurately
- Enter and update employee information in HR and payroll systems
- Maintain organized and confidential personnel files
- Track employee qualifications, evaluations, training, and required documentation
- Assist with employee status changes, promotions, pay changes, and terminations
- Ensure HR records remain accurate and up to date
General HR Support
- Respond to routine employee questions regarding policies, benefits, attendance, payroll systems, and company procedures
- Direct sensitive or complex employee matters to the HR Manager
- Assist with health insurance enrollment and employee benefit administration
- Help track employee eligibility for benefits, evaluations, and other programs
- Assist with attendance records, time-off requests, call-offs, and related documentation
- Prepare employee notices, letters, forms, reports, and internal communications
- Schedule employee meetings, evaluations, training, and follow-up discussions
- Assist managers with performance documentation and employee corrective-action records
- Support workers’ compensation documentation and injury-reporting procedures
- Assist with unemployment claims, employment verifications, and other HR requests
- Help ensure employees complete required policies, acknowledgments, and training
- Maintain confidentiality regarding employee, applicant, medical, payroll, and company information
- Provide additional administrative and project support to the HR Manager as needed
Qualifications
- One to three years of recruiting, human resources, staffing, or related experience preferred
- Experience reviewing applications and conducting phone screens preferred
- Familiarity with really or other online recruiting platforms
- Strong written and verbal communication skills
- Strong organization and attention to detail
- Ability to manage multiple candidates, deadlines, and HR tasks at the same time
- Professional and comfortable communicating with applicants, employees, and managers
- Ability to handle confidential and sensitive information appropriately
- Proficient with email, spreadsheets, Google Workspace, or Microsoft Office
- Experience with HR, payroll, applicant-tracking, or scheduling systems is a plus
- Dependable attendance and punctuality
- High school diploma or equivalent required
- College coursework or a degree in Human Resources, Business Administration, or a related field is preferred but not required
