SECRETARY I - ELEMENTARY
Sage Point Elementary
7 hours per day/187 workdays per year
(M-F) 8:45AM-4:15PM
Shift time is subject to building needs.
POSITION OVERVIEW
Secretary I plays a crucial role in maintaining the efficient operation of the school’s administrative processes by providing comprehensive secretarial and clerical support.
QUALIFICATIONS:
- High school diploma or equivalent; additional relevant education preferred.
- One (1) year of clerical experience using various computer applications, or any combination of education and experience, which provides the applicant with the knowledge, skills, and abilities required to perform the essential job functions.
- Ability to maintain the confidentiality of sensitive information.
- Must be able to work with minimal supervision.
- Documented history of good attendance and punctuality.
- School secretarial experience preferred.
- Bilingual preferred.
ESSENTIAL JOB FUNCTIONS:
- Greet visitors, students, and parents with a friendly and professional demeanor.
- Answer phone calls and respond to inquiries, directing them to the appropriate staff member.
- Collaborate with teachers, administrators, and parents to facilitate effective communication.
- Assist in data entry for attendance, attendance reporting, attendance letters, and knowledge of attendance policy.
- Manage phone messenger program/machine for daily absentee phone calls.
- Assist the administration in tracking absenteeism truancy reporting, attendance appeals, and coordinate BECCA documentation.
- Assist in student accident/health-related situations.
- Complete medication administration training and perform related tasks as requested.
- Assist in sending letters, forms, memoranda, and reports from notes, tapes, records, or general direction with accuracy; preview incoming correspondence and direct as appropriate.
- Organize and maintain physical and digital files in a systematic manner, including updating, transferring, and purging files.
- Assist teachers and staff with administrative tasks, such as photocopying, printing, and preparing materials.
- Provide basic support to students who visit the office, offering guidance and assistance when necessary.
- Assist with special projects and tasks as assigned by the school administration.
- Remain calm and flexible to adapt to changing priorities and responsibilities.
- Maintain a neat and organized reception area.
- Maintain excellent attendance and punctuality.
- Interprets as needed if multilingual.
- Performs other related duties as assigned.
TESTING REQUIREMENTS:
- First aid card may be required for specific positions
- Ability to successfully complete the following assessments: Typing (upper Moderately Effective to Highly Effective range), math, grammar, basic excel, proofreading, writing sample (optional), 10-key test (optional), accounting (optional) tests.
- Current in-district employees with five (5) or more years of experience in the Moses Lake School District may have the typing test waived at the discretion of the principal/director.
