Job Overview:
We are seeking a highly organized and detail-oriented Office Manager to join our team. As the Office Manager, you will be responsible for overseeing the day-to-day operations of our office, ensuring efficiency, productivity, and scheduling. This is a key role that requires excellent organizational skills, strong attention to detail, above average communication skills, and the ability to multitask effectively with minimum supervision.
Key Responsibilities:
- Manage daily administrative functions, ensuring smooth office operations.
- Oversee staff schedules, timesheets, and assist with payroll coordination.
- Maintain accurate records of client documentation, service notes, staff training, and certifications in accordance with licensing and compliance requirements.
- Coordinate onboarding paperwork and training tracking for Direct Support Professionals (DSPs) and other staff.
- Assist in preparing documentation for audits, licensing reviews, and quality assurance.
- Maintain organized digital and physical filing systems for employees and individual records (HIPAA-compliant).
- Serve as a point of contact for staff, vendors, contractors, and families.
- Ensure timely communication and follow-ups on day-to-day activities with other office personnel.
- Order and manage office and household supplies, ensuring necessary inventory for homes and programs.
- Support the leadership team with reporting, data entry, and internal communications.
Duties:

- Answer phone calls and direct inquiries to the appropriate person or department
- Manage incoming and outgoing paperwork
- Provide administrative support to clients, staff, and other office personnel

Qualifications:
- Proven experience in office management or a similar role
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent communication skills, both written and verbal
- Ability to handle confidential information with discretion
- Knowledge of phone systems and other office equipment
-Proficient in Excel and Microsoft word
