Role Overview
The ideal candidate will have experience with the administrative aspects of Human Resources, be familiar with day-to-day administrative work, and have the ability to be a dynamic and professional part of a growing team. This position, while a HR Assistant, will be also performing receptionist/customer service duties and will be stationed our Corporate Office’s front desk area.
Essential Duties: In addition to related job duties as assigned, this position will:
HR Assistant Essential Duties
- Perform administrative duties for the team as directed.
- Responsible for assisting with the administration of a document and matter management software system and HRIS system.
- File all documents correctly into the Employee Files, along policies, and corporate records into a centralized filing location.
- Scans, emails executed agreements to employees.
- Creates shipping labels (new hire, terminations, other).
- Completes project work as assigned.
Admin Essential Duties
- Handle general inquiries from external parties and customers via computer, phone, and in-person.
- Collect and log loan payments via mail.
- Provide clerical support for the office (filing, mailing, faxing and forwarding correspondences to appropriate parties.
- Assist with administrative tasks and special projects such as responding to messages coming in.
Qualifications, Experience & Knowledge
- Excellent verbal and written communication skills, including grammar and punctuation.
- Ability to manage multiple levels of details and return reliable answers.
- Customer service, problem solving, organizational and analytical skills required.
- Common sense and logical thinking
- Ability to work independently.
- Proficient with the Microsoft Office suite, internet, cloud-based services
- Experience with Adobe Acrobat a plus.
- Project management skills
Physical Requirements
- Stationary position; prolonged periods at a desk and working on the computer.
- Occasional movement about inside the office to walk to offices and office machinery.
- Occasional lifting up to 10 pounds, must be able to push, pull, pull up, bend at the knees and waist, twist body at the waist, raise and hold arms overhead, turn head-neck-shoulders as needed, grasp and hold tools and other items with hands, for either extended periods of time or many times throughout the workday.
