Job Title: Accounts Payable/ Accounts Receivable Clerk

Accounts Payable Responsibilities:

· Process payments and control expenses by receiving, reviewing, verifying, and reconciling invoices.

· Reconcile processed transactions by verifying entries and comparing system reports to account balances.

· Allocate expenses to appropriate accounts and cost centers by analyzing invoices and expense reports and recording journal entries.

· Process vendor payments by monitoring discount opportunities, verifying federal ID numbers, scheduling and preparing checks and electronic payments, and resolving discrepancies related to purchase orders, contracts, invoices, or payments.

· Ensure proper credit is received for outstanding memos.

· Reconcile vendor accounts by reviewing monthly statements and related transactions.

· Maintain accurate historical records by scanning and filing documentation.

· Administer petty cash by recording transactions and verifying supporting documentation.

· Safeguard organizational information by maintaining strict confidentiality.

· Support the accounting department and organizational objectives by completing related tasks as assigned

Accounts Receivable Responsibilities:

· Generate invoices in accordance with company policies and submit them to customers in a timely manner.

· Maintain and update customer account records, including changes to contact information, mergers, and billing details.

· Assist the Credit/Collections Manager in reconciling accounts receivable, researching discrepancies, and managing past-due accounts.

· Record and process incoming payments daily, including opening and distributing mail.

· Copy, file, and retrieve documentation as needed.

· Perform additional duties as assigned.

Qualifications and Skills:

· Strong verbal and written communication skills.

· Proficiency in operating standard office equipment, including computers, 10-key calculators, copiers, and printers.

· Ability to work independently in a fast-paced environment.

· Proactive in anticipating workload needs and interacting professionally with customers and colleagues.

· Excellent organizational skills with strong attention to detail.

· Demonstrated thoroughness and analytical abilities.

· Knowledge of basic accounting principles.

· Strong vendor relationship management skills.

· Accurate data entry skills.

· Solid general math skills

Education, Experience, and Licensing Requirements:

· High school diploma, GED, or equivalent required.

· Associate or bachelor’s degree in Accounting, Finance, or a related field preferred.

· Previous experience in accounts payable and/or accounts receivable preferred
