Position Overview
We are seeking a detail-oriented and customer-focused Flight Coordinator to join our incentive travel team. This role is responsible for coordinating air travel arrangements for large groups traveling to destinations worldwide. The Flight Coordinator serves as a key liaison between airlines, travel suppliers, clients, and internal teams to ensure a seamless travel experience from booking through departure.
The ideal candidate is highly organized, thrives in a fast-paced environment, and can effectively manage multiple projects while maintaining exceptional attention to detail and customer service.
Key Responsibilities
- Coordinate and manage air travel arrangements for incentive programs, meetings, events, and group travel experiences
- Research, reserve, and monitor airline inventory for groups and individual travelers
- Maintain accurate passenger records, flight manifests, and travel documentation
- Communicate flight schedules, itinerary updates, and travel requirements to clients and participants
- Work directly with airlines, consolidators, and travel partners to secure the best available flight options
- Assist travelers with air-related questions, schedule changes, upgrades, and special requests
- Monitor flight schedules and proactively address disruptions, cancellations, or itinerary changes
- Ensure compliance with airline ticketing deadlines and group contract requirements
- Collaborate with program managers and operations teams to support successful event execution
- Prepare reports and maintain detailed records within company systems
Qualifications
- Previous experience in travel coordination, airline reservations, incentive travel, group travel, or hospitality preferred
- Strong organizational skills with the ability to manage multiple programs and deadlines simultaneously
- Excellent verbal and written communication skills
- Exceptional attention to detail and accuracy
- Strong problem-solving and customer service abilities
- Proficiency with Microsoft Office applications, particularly Excel
- Ability to work independently and as part of a collaborative team
Preferred Qualifications
- Experience with airline group bookings and ticketing processes
- Familiarity with GDS systems such as Sabre or Worldspan
- Experience in incentive travel, meetings and events, destination management, or corporate travel
- Understanding of airline contracts, fare rules, and travel logistics
