Duties
- Manage multi-line phone systems, answer inquiries promptly, and direct calls efficiently using professional phone etiquette.
- Provide front desk support by greeting visitors, handling check-ins, and maintaining a welcoming environment.
- Perform data entry tasks with accuracy using spreadsheets, Microsoft Office tools, and Google Workspace applications.
- Organize and maintain filing systems—both digital and physical—to ensure easy retrieval of documents.
- Assist with calendar management, scheduling appointments, and coordinating meetings for staff and clients.
- Support bookkeeping activities by managing invoices, tracking expenses, and utilizing QuickBooks software.
- Facilitate office management tasks such as ordering supplies, maintaining inventory, and ensuring the office is well-organized.
- Offer customer support through clear communication via phone or email, ensuring client needs are addressed professionally.
- Proofread documents for accuracy and clarity before distribution to uphold high-quality standards.
- Provide clerical assistance including word processing, copying, scanning, and general administrative support as needed.
Qualifications
- Proven experience in an office environment with strong clerical skills and familiarity with office management practices.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Docs, Sheets), and data entry tools.
- Excellent organizational skills with the ability to multitask effectively in a fast-paced setting.
- Strong computer literacy including technical proficiency with productivity software and office equipment.
- Exceptional communication skills—both verbal and written—and the ability to handle phone communication professionally.
