Job Overview
We’re hiring a Front Desk & Administrative Assistant to help keep a busy real estate office running smoothly while serving as the friendly, professional voice of the company.
You’ll be the first point of contact for calls and visitors while supporting day-to-day operations like mail, filing, and general administrative tasks. We’re a small, fast-moving team that values reliability, communication, and strong follow-through.
We welcome candidates early in their careers who are organized, reliable, and eager to learn. This role offers exposure to property management and real estate operations, with room to take on more responsibility over time.
This is a full-time position, Monday through Friday, 9:00 AM to 5:00 PM, with the option for a 4-day schedule for the right candidate. Our office is located in downtown San Rafael, within walking distance of the SMART train station.
Responsibilities
- Answer and route incoming calls using our VoIP system
- Sort daily mail; scan and file documents
- Prepare and complete bank deposits
- Communicate with tenants, vendors, and property owners
- Support file organization and general administrative tasks
- Assist with light social media
- Help keep the office organized, stocked, and running efficiently
What We’re Looking For
- Excellent communication skills (phone written)
- Highly organized with strong attention to detail
- Able to handle urgent situations with good judgment and professionalism
- Adaptable and comfortable wearing multiple hats
- Reliable, proactive, and takes ownership of tasks
Experience
- Google Workspace, Microsoft Office, OneDrive, Windows
- AppFolio or similar software (a plus)
- Canva / Adobe Express or social media experience (a plus)
- Spanish (preferred)
Pay: $20.00 - $27.00 per hour
