We are seeking a dedicated and professional Receptionist to join our team. We are a fast-paced, patient-focused dermatology practice. In this role, you will be the first point of contact for our patients, providing exceptional professionalism. The ideal candidate will possess strong communication skills and a passion for helping others in a medical office setting. This position requires the ability to analyze patient needs, effectively communicate solutions, and maintain accurate records through our EMR. The Receptionist is responsible for managing a high volume of inbound and outbound calls, scheduling appointments, answering patient inquiries, and providing excellent customer service in a professional and efficient manner. This is a key role in ensuring seamless communication between our practice and our patients.
Duties
- Answer high-volume inbound calls promptly, professionally, and courteously.
- Schedule, confirm, and modify patient appointments using our EMR software.
- Analyze customer inquiries and provide appropriate solutions or direct specific issues to administration or billing dept.
- Communicate clearly and effectively, ensuring that all information is conveyed accurately.
- Provide information to patients regarding services, appointment types, office policies, and procedures.
- Utilize medical terminology to assist clients with healthcare-related questions.
- Maintain phone etiquette while managing multiple calls and duties.
- Handle appointment confirmations, message follow-ups, and registration tasks.
- Perform data entry tasks to ensure accurate documentation of patient interactions.
- Accurately verify insurance information and collect or update patient demographics.
- Collaborate with front desk, clinical, and billing teams to ensure smooth patient flow and communication.
- Collaborate with team members to improve patient service delivery and patient satisfaction.
- Training will be completed upon hire.
Qualifications
- 1–2 years of experience in a medical office, healthcare call center, or patient-facing role.
- Experience in dermatology, medicine, or a specialty medical practice.
- Knowledge of medical terminology, insurances and insurance verification, and appointment types.
- Understanding of patient privacy laws and secure handling of personal health information (PHI).
- Strong understanding of HIPAA regulations and commitment to maintaining patient confidentiality at all times (or willingness to complete training upon hire).
- Proficient in data entry with attention to detail and proficiency with electronic medical record (EMR) systems.
- Ability to multi-task and manage high call volumes in a fast-paced environment.
- Excellent phone etiquette and interpersonal skills.
- Excellent verbal and written communication skills, with a professional and courteous demeanor.
- Ability to analyze customer needs and provide effective solutions.
