JOB DESCRIPTION

POSITION TITLE: Professional Administrative Assistant to the Superintendent

LOCATION: Central Office

EMPLOYMENT TERM: 255 Days (Exempt position)

SALARY: Salary based on experience and education level per MCBOE salary schedule plus competitive benefits package equal to approximately 35% of direct compensation.


RESPONSIBILITY OR PURPOSE (NARRATIVE):

The job of the Professional Administrative Assistant to the Superintendent is established for the purpose/s of supervising and coordinating the functions, activities, workload, and record keeping of the Superintendent’s Office. This position provides a wide variety of complex and confidential administrative support; interprets policy and administrative regulations to officials and the public; analyzes requests and provides recommendations for action; communicates information on behalf of MORGAN County School and the elected School Board to staff, other districts, and public agencies. The work requires independent judgment, the ability to independently prioritize and organize work, deal with frequent non-routine situations, and coordinate activities of major programs and projects.

MINIMUM QUALIFICATIONS (STATE EDUCATION, TRANING AND EXPERIENCE REQUIRED):

  • Bachelor’s degree preferred, Associate’s degree required.
  • Minimum of 5 years of experience in public education providing an understanding of internal workings of schools and the public-school system.
  • Knowledge of Microsoft Office Suite including but not limited to Word and Excel.
  • Knowledge of Microsoft 365 including but not limited to email, calendar scheduling and sharing, Teams, and One Drive.
  • Knowledge of Federal, State and Local Education Law and Policy
  • Excellent organization, efficiency, and time management skills. Ability to think critically, problem solve, multi-task, prioritize tasks and work independently.
  • Consistent professional demeanor including appearance, a positive attitude, and excellent oral and written communication skills.


PERFORMANCE RESPONSIBILITIES:


  • 1. Willingness to work a flexible schedule including but not limited to Board of Education meetings, staff or student disciplinary hearings, recognition programs, professional development, etc., for the purpose of recording official minutes; providing information; coordinating material distribution and/or supporting the needs of attendees.
  • 2. Ability to prepare packets for Morgan County Board meetings in coordination with all departments within the Morgan County Central Office includes compiling minutes for documentation after each meeting and filing of all public Board meetings.
  • 3. Maintain a wide variety of complex manual and electronic documents files and records for the purpose of providing up-to-date information and/or historical reference in accordance with established administrative guidelines and legal requirements.
  • 4. Compose a wide variety of complex written materials (correspondence, agendas, minutes, event programs, bulletins, reports) for the purpose of communicating information and/or creating documentation in conformance with established guidelines. Tasks will include composing letters, memos, etc.
  • 5. Will also include a variety of reports, documents, and correspondence of a confidential and non-confidential nature.
  • 6. Understanding and supporting relationships between Morgan County Schools and institutions of higher education including, but not limited to Blue Ridge Community and Technical College.
  • Demonstrate and understand the importance of supporting and maintaining strong community relationships between the school system and staff, students, families, and other stakeholders while also acting as a liaison between families, community members, schools, all central office departments, and the Superintendent.
  • Process a wide variety of complex documents and materials for the purpose of disseminating information in compliance with program, district, state and/or federal requirements.
  • Coordinate a wide variety of special projects, activities and/or events for the Superintendent and Board for the purpose of completing activities and/or delivering services in a timely fashion.
  • Schedule, organize and manage a wide variety of activities including but not limited to LSIC, Faculty Senate and Board Committees.
  • Monitor a variety of activities on behalf of Superintendent for the purpose of achieving goals and meeting target dates in compliance with established guidelines and regulatory requirements.
  • Research a variety of topics (e.g., current practices, policies, education codes, parental complaints, legal updates, etc.) for the purpose of providing information and/or recommendations and/or addressing a variety of administrative requirements.
  • Coordinate office operations for the Superintendent, including managing information flow, assisting with administrative tasks, coordinating workflow, communicating information to school and District Personnel, and developing office forms, systems and procedures.
  • Responds to a wide variety of calls, concerns and/or complaints for the purpose of providing information and/or referring to appropriate personnel.
  • Prepare Board policies and guidelines, ensuring compliance with state and federal laws.
  • Support the Superintendent, the Board of Education and other administrators for the purpose of providing assistance with their functions and responsibilities.
  • Maintain confidentiality at all times and possess unquestionable integrity while having good intentions with all interactions and decisions.
  • Provide support with Human Resources functions, including documentation, employee communications, and other related tasks as assigned.
  • Assist with maintaining, updating, and ensuring the accuracy and usability of the organization’s website.
  • Other Duties as assigned by the Superintendent.
