POSITION DESCRIPTION
POSITION TITLE: Administrative Assistant to Superintendent
IMMEDIATE SUPERVISOR: Superintendent
POSITION SUMMARY:
The job of Administrative Assistant to the Superintendent is done for the purpose/s of providing a wide variety of complex and confidential administrative and secretarial support to the Superintendent and the Board of Education; communicating information on behalf of Superintendent to school and district staff, other districts, public agencies, etc.; and acting as liaison between the Superintendent, Board of Education, Staff and the public to provide information.
ESSENTIAL FUNCTIONS/RESPONSIBILITIES:
- Coordinates communications between the Superintendent and the Board of Education, the District’s administrative team, all school employees, the community, and outside professional Associates.
- Attends Board meetings and performs various secretarial and administrative duties for the Board (e.g. coordination/preparation of agenda, etc.) for the purpose of recording the minutes in accordance with district policy and maintaining a variety of records related to Board activities.
- Research and interpret laws relating and applying to policy, create draft policy for review and maintain policy manual.
- Maintains close relations and liaison with other departments and school site personnel while sustaining District’s integrity and security.
- Serves as a liaison to parents, students, committees and/or organizations on behalf of the Superintendent and/or Board for the purpose of conveying and/or gathering information required for district operations.
- Schedules a variety of activities (e.g. appointments, meetings, travel arrangements, etc.) for purpose of coordinating the Superintendents calendar and making necessary arrangements for the Board members.
- Maintain documents, files and records (e.g. Board Policy Book, budget reports and expenses) for the purpose of providing up-to-date reference and ensuring compliance with established financial, legal and/or administrative requirements.
- Composes correspondence independently on a variety of matters (e.g. letters, reports, statistical data, memos, bulletins, lists, etc.) for the purpose of communicating information to school and district personnel, the community, state/local officials, etc.
- Responds to inquires (e.g. telephone calls, visitors, requests, concerns, questions) for the purpose of resolving problems from parents and community members, providing information and/or referring to appropriate personnel.
- Serve as a Notary Public for the district for the purpose of providing notary services in compliance with state/federal regulations.
KNOWLEDGE, SKILLS AND ABILITIES:
- Interest in the education of youth in a public school setting.
- Proficiency in word processing, spread sheets and relevant computer skills as well as other modern office practices.
- Demonstrate effective English communication in both oral and written form.
- Demonstrate pleasant, patient, outgoing collegial interpersonal relationship skills.
- Demonstrate initiative, organizational and time management skills.
- Maintain confidentiality.
EDUCATION AND EXPERIENCE:
- High School Diploma or Equivalent
- Some general education beyond high school preferred.
- Training in business/office education in high school or post-secondary preferred.
- A minimum of five years in a progressively higher level of administrative/secretarial work office experience required.
- Such alternatives to the above qualifications as the administration may find appropriate and acceptable.
WORKING ENVIRONMENT:
The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job.
While performing the duties of this job, the employee will work primarily in an indoor office setting in various size spaces with varied numbers of diverse, adult employee, school patron and other citizen populations.
LENGTH OF EMPLOYMENT: 12 months
TERMS OF EMPLOYMENT:
Work hours are recommended by the supervising administrator. The number of work hours and salary are established by the Board of Education. The employee shall receive benefits, vacation leave and retirement, which apply to classified personnel as established by Board of Education policy and the Fort Morgan Association of Classified Personnel. To be employed, the candidate must pass a fingerprint background check at his/her own expense.
EVALUATION:
Performance of this job will be evaluated in accordance with provisions of the Board of Education policies that apply to classified personnel.
Salary : $62,410 - $72,910
