Summary
Moorestown Friends School is looking for a part-time morning Front DeskCoordinator to join our team. The Front Desk Coordinator serves as the first point of contact for visitors, families, and community members at Moorestown Friends School and plays a key role in maintaining a welcoming, organized, and secure front office environment. This position manages the reception area, answers and directs phone calls, coordinates visitor check-in procedures, and supports daily school operations through communication, mail distribution, and administrative assistance.
The Front Desk Coordinator works closely with school offices and coordinates with the afternoon front desk staff member to ensure consistent front desk coverage and smooth daily operations. Strong communication skills, professionalism, attention to detail, and the ability to manage multiple tasks in a fast-paced environment are essential for success in this role.
Hours: 7:15 am. – 12:45 pm (27.5 hours/week)
Reports to: Chief Financial and Operations Officer
Part-Time, Non-Exempt position
Pay Rate: $18.00 per hour to $20.00 dollars per hour. Compensation is based on a combination of years of experience and education.

Responsibilities:
- Responsible for the overall appearance and operation of the Front Office
- Greet all visitors and provide each with a name tag and assure that they sign in at the front desk
- Responsible for directing/announcing all visitors to their appointments
- Responsible for screening salespeople and people wishing to distribute literature of any kind; (No salespeople are to go beyond the Front Office unless previous arrangements have been made.)
- Maintain safe and clean (clutter-free) reception and lobby area
- Maintain wall holders with appropriate brochures as needed
- Other duties as assigned
- Maintain telecommunication system by following manufacturer’s instructions for console operation and station phones
- Open switchboard promptly
- Retrieve and distribute messages from overnight voicemail promptly, and throughout shift as necessary
- Answer and route incoming calls promptly (by the third ring) and politely, taking messages when necessary. Use of headset is strongly encouraged
- Update system for holidays and school closing dates as needed. Coordinate with PM FDC as needed
- Assist PM FDC with recording/programming appropriate voicemail messages for school closings and holidays
- Identify, evaluate, and correct phone and voicemail problems when brought to your attention. Refer any unresolved problems to the Business Office
- Implement additions, deletions, and changes to phone and voicemail systems prior to the start of each school year and whenever necessary. Coordinate with PM FDC when needed
- Maintain a current and accurate list of system statistics: phone lines, service providers, extensions, voicemail numbers, DID numbers, fax numbers, etc.
- Maintain a current and accurate list of emergency and frequently called phone numbers at the front desk.
- Maintain security by following emergency procedures, monitoring the logbook, and issuing visitor badges
- Contact school’s alarm company before and after fire drills to notify them of planned drills
- Monitor two-way radio for emergencies and/or maintenance issues; call maintenance and/or nurse when needed
- As the first person to greet visitors, the FDC should be capable of discerning potential safety or security issues
- Receive, sort, and route incoming mail. Distribute incoming mail upon its delivery and coordinate appropriately with afternoon front desk operator to assure mail is processed efficiently
- Maintain accurate mailboxes for all employees
- Prepare all outgoing mail for morning pickup. Coordinate appropriately with the other front desk operator to assure mail is processed efficiently
- Maintain incoming faxes and confidentiality send to the recipient.
- Oversee the use and maintenance of postage machine and scale
- Oversee the use and maintenance of facsimile machine
- Notify individuals when faxes and express mail packages are received
Qualifications:
- Requires a high school diploma or its equivalent with 0-2 years of experience in an independent school or in a related area
- Must be familiar with Google apps automated, digital postage/mail machine, automated digital copier, automated, and digital communications/voicemail system
- Have knowledge of commonly-used concepts, practices, and procedures of independent schools
- Possess excellent communication and multitasking skills
- Have a positive attitude and a strong work ethic
