About the Opportunity
Moonlight Care Services is actively seeking an experienced and highly organized Quality Assurance Coordinator to join our growing leadership and compliance team.
This is an important quality and regulatory role for an experienced professional who understands Ohio's developmental disabilities service system and recognizes that quality assurance is about much more than checking paperwork. It is about protecting individuals, maintaining regulatory compliance, identifying risk, strengthening service delivery, and ensuring that concerns are followed through to resolution.
The Quality Assurance Coordinator will report directly to the Quality Assurance Director and work collaboratively with executive leadership, Service Delivery Coordinators, House Managers, Direct Support Professionals, individuals served, families and guardians, county boards, SSAs, healthcare professionals, and other community partners.
We are seeking someone who brings meaningful experience in the developmental disabilities field, has previous quality assurance or compliance experience, understands the responsibilities that come with a management-level position, and is willing to continue learning and growing as Moonlight Care Services expands.
This position requires someone who is organized, accountable, detail-oriented, comfortable working independently, willing to be present in the field, and capable of managing multiple compliance priorities and deadlines simultaneously.
Key Responsibilities: Quality Assurance & Compliance
The Quality Assurance Coordinator will support the Quality Assurance Director in maintaining strong agency-wide compliance and quality systems.
Responsibilities include:
- Conducting assigned quality assurance and compliance audits of residential homes, service records, documentation, and agency systems.
- Identifying missing, incomplete, inaccurate, inconsistent, or outdated documentation.
- Clearly documenting audit findings and communicating deficiencies requiring corrective action.
- Tracking corrective actions and following identified concerns through to verified resolution.
- Identifying recurring compliance problems, trends, or systemic risks and bringing them to the attention of the Quality Assurance Director.
- Assisting with preparation for county, state, funding-source, and other regulatory reviews.
- Supporting ongoing survey and audit readiness rather than waiting until a review is scheduled.
- Immediately escalating concerns involving health, safety, rights, abuse, neglect, exploitation, or significant regulatory risk.
ISP Management & Electronic Documentation
The Coordinator will have significant responsibility for maintaining accurate individual records and ISP information within Brittco and other applicable agency systems.
Responsibilities include:
- Entering and maintaining annual and revised ISPs.
- Reviewing ISP information for accuracy and completeness.
- Updating records when revisions or service changes are received.
- Uploading required supporting documentation.
- Monitoring records for missing, expired, inconsistent, or outdated information.
- Ensuring agency documentation accurately reflects currently approved services and supports.
- Tracking required signatures and outstanding ISP documentation.
- Following up with responsible parties when required information has not been received.
- Maintaining organized and audit-ready electronic records.
ISP Meetings & Service Coordination
- Attend assigned annual ISP meetings, revisions, and other service-related meetings.
- Review applicable documentation in preparation for meetings.
- Participate professionally in discussions involving service delivery, compliance, documentation, and individual needs.
- Obtain information required to update agency systems and records.
- Complete assigned post-meeting follow-up.
- Ensure revisions, signatures, and supporting documents are obtained, entered, and maintained properly.
- Communicate operational or compliance concerns arising from ISP changes to appropriate leadership.
UI/MUI & Incident Compliance
The Quality Assurance Coordinator will assist with Unusual Incident and Major Unusual Incident processes within the scope assigned by the Quality Assurance Director.
Responsibilities include:
- Assist with UI/MUI reporting, documentation, tracking, and required follow-up.
- Enter required information into applicable systems.
- Monitor incident-related deadlines.
- Track outstanding documentation and corrective follow-up.
- Assist with investigations when appropriately assigned.
- Verify that required notifications and supporting documentation have been completed.
- Maintain organized incident records.
- Identify incident patterns or recurring concerns requiring leadership attention.
- Immediately escalate serious health, safety, abuse, neglect, exploitation, rights, or other significant concerns.
Residential & Field Quality Oversight
This is not exclusively a desk-based position. The successful candidate must be comfortable maintaining an active presence within the programs and homes being supported.
Responsibilities may include:
- Conducting announced and unannounced quality assurance visits as assigned.
- Reviewing service documentation and compliance within residential settings.
- Observing whether services are being delivered appropriately and consistently.
- Identifying environmental, documentation, staffing, safety, rights, or service-delivery concerns.
- Communicating findings to the Quality Assurance Director and appropriate management.
- Following up to ensure identified deficiencies are corrected.
- Maintaining professional relationships with individuals served and frontline staff while preserving the independence and integrity of the QA function.
Staff Training & Compliance Monitoring
- Assist with monitoring required employee training and credentials.
- Assign training when directed.
- Track completion and identify overdue requirements.
- Communicate deficiencies to appropriate management.
- Maintain accurate training-related compliance documentation.
- Help identify areas where recurring documentation or service concerns indicate a need for retraining or additional management intervention.
JFS, Funding & Service Documentation
As assigned, the Quality Assurance Coordinator may:
- Serve as an Authorized Representative for Job and Family Services.
- Communicate with JFS regarding assigned eligibility and documentation matters.
- Monitor required deadlines and requests for information.
- Communicate with county or regional entities regarding assigned funding or authorized-service matters.
- Maintain documentation supporting funding and service authorizations.
- Help resolve documentation issues that could affect service delivery or billing.
Management & Operational Support
- Work closely with the Quality Assurance Director on agency quality initiatives.
- Assist with preparation for management meetings and compliance discussions.
- Provide managers with compliance findings and required follow-up when directed.
- Monitor outstanding quality-related assignments.
- Assist leadership in identifying operational problems affecting service quality.
- Maintain accurate tracking systems for audits, ISPs, incidents, meetings, corrective actions, and other assigned responsibilities.
- Prepare reports, summaries, or compliance information as requested.
- Carry assignments through to completion and communicate barriers before deadlines are missed.
What We Are Looking For
We are seeking a candidate with substantial experience in Ohio's developmental disabilities service system who understands both the regulatory responsibilities and the human impact of quality assurance.
Required Qualifications
- Minimum of five years of professional experience in the developmental disabilities field.
- Meaningful experience at a management, supervisory, coordinator, quality assurance, compliance, or comparable leadership level within DD services.
- Previous hands-on experience performing Quality Assurance, compliance, auditing, or related quality-management responsibilities.
- Working knowledge of residential or community-based services for individuals with intellectual and developmental disabilities.
- Experience reviewing service documentation, identifying deficiencies, and following corrective actions through completion.
- Strong understanding of confidentiality and handling sensitive individual and employee information.
- Demonstrated ability to manage multiple responsibilities, deadlines, and priorities with limited supervision.
- Strong written and verbal communication skills.
- Strong organizational skills and exceptional attention to detail.
- Ability to communicate professionally with DSPs, managers, individuals served, families, guardians, SSAs, county boards, and leadership.
- Ability and willingness to learn Moonlight Care Services' internal systems, procedures, and quality expectations.
- Ability to use electronic documentation systems and become proficient with Brittco and other required platforms.
- Valid driver's license, reliable transportation, and ability to travel to Moonlight service locations as required.
- Ability to successfully complete applicable background checks and employment requirements.
Preferred Qualifications
Candidates will be especially competitive if they have experience with several of the following:

A bachelor's degree in Psychology, healthcare administration, human services, social work, public health, business administration, quality management, or a related field is preferred; however, significant relevant DD quality assurance and management experience may be considered in place of a specific degree.

Schedule & Flexibility
Moonlight Care Services' regular administrative business hours are generally Monday through Friday, 9:00 a.m.–4:00 p.m.
This is a salaried quality assurance position within an organization providing services 24 hours a day, seven days a week. Accordingly, flexibility is an essential requirement of the position.
The Quality Assurance Coordinator may occasionally be required to conduct visits, attend meetings, respond to significant compliance matters, or complete time-sensitive responsibilities outside normal administrative hours, including evenings or weekends when operational needs require involvement.
Candidates seeking a position that can be performed exclusively within fixed office hours may not be the best fit for this role.
Compensation
$55,000–$65,000 annually, commensurate with relevant developmental disabilities experience, quality assurance/compliance experience, management background, education, and demonstrated qualifications.
