One of our investment firm clients* is seeking an experienced Executive Assistant to provide high-level administrative support in a fast-paced, relationship-driven professional services environment.
The successful candidate will bring excellent judgment, strong communication skills, and a client-service mindset. This person should be comfortable supporting senior professionals, coordinating complex schedules, preparing materials, and helping keep day-to-day operations running smoothly.
Core Responsibilities
- Manage complex calendars, meeting schedules, conference room bookings, and daily administrative priorities
- Coordinate internal and external meetings, conference registrations, travel arrangements, and related logistics
- Prepare, organize, and distribute meeting materials, including agendas, presentations, handouts, and reports
- Process expense reports, invoices, and other administrative documentation accurately and on time
- Answer phones, screen incoming calls, and manage communications professionally and discreetly
- Create and update presentations, reports, and spreadsheets using Microsoft PowerPoint and Excel
- Maintain organized digital files and shared materials
- Develop and maintain tracking systems for open items, follow-ups, and deadlines
- Build trusted working relationships with internal colleagues, external contacts, and key stakeholders
- Provide backup administrative coverage to other team members as needed
Required Qualifications
- 5 years of administrative support experience in a corporate environment
- Bachelor’s degree required
- Financial services experience highly preferred
- Exceptional judgment and discretion when handling confidential information
- Strong Microsoft Office skills, including Outlook, Word, PowerPoint, and Excel
- Excellent interpersonal and communication skills
- Highly organized, detail-oriented, and able to work with a strong sense of urgency
- Proven ability to manage multiple priorities across several stakeholders
- Self-directed, proactive, and comfortable taking ownership of tasks through completion
- Positive, professional, high-energy approach
- Strong follow-through and a collaborative, team-oriented mindset
- Flexible and punctual, with the ability to work beyond standard business hours when needed
- Comfortable working in a dynamic, fast-paced environment
