Role Description This is a full-time Senior Client Service Associate role based in Concord, MA, with a hybrid work arrangement that allows some work from home. We are seeking an organized, proactive, resourceful, and client-focused professional who thrives in a fast-paced environment and takes pride in delivering exceptional service. This individual will play a critical role in supporting our advisors, strengthening client relationships, and ensuring a seamless client experience. The ideal candidate will have at least five years of experience in a similar client service role, with responsibilities comparable to those described below.
Client Service and Relationship Support
· Serve as a point of contact for client service requests and day-to-day client needs
· Deliver timely, professional communication to clients and business partners.
· Coordinate client meetings and manage follow-up action items.
· Prepare client correspondence and service-related documentation.
· Maintain accurate records of client interactions within CRM and document management system.
Client Onboarding and Account Administration
· Facilitate new account openings and account transfers through Schwab and Fidelity.
· Process money movement requests including transfers, wires, journals, deposits, and distributions.
· Monitor account transfer activity and proactively resolve outstanding issues.
· Coordinate required documentation and ensure compliance with firm procedures.
· Maintain client records and documentation.
Operations and Technology
· Utilize Salesforce CRM, Black Diamond, Worldox, Smartsheet, and custodial platforms to support
client service, operations, and reporting initiatives.
· Maintain client data integrity across systems.
· Assist with reporting and operational projects.
· Identify opportunities to improve processes and enhance efficiency.
Advisor Support
· Prepare materials for client review meetings.
· Assist advisors with administrative and operational tasks.
· Manage scheduling and calendar coordination.
· Support implementation of financial planning recommendations.
· Provide administrative and operational support including correspondence preparation, CRM maintenance, document management, and calendar coordination.
Qualifications
- Five years of experience in a similar client service role
- A collaborative, team-first mindset with a willingness to step in and help colleagues wherever needed, regardless of formal responsibilities.
- Self-motivated and proactive, with the ability to identify needs, take initiative, and contribute to the success of the broader team.
- Bachelor's degree preferred.
- Experience working with Schwab, Fidelity, or other custodial platforms.
- Strong attention to detail and organizational skills.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities while maintaining accuracy.
- Proficiency with Microsoft Office Suite.
- Demonstrated commitment to providing exceptional client service.
