POSITION DETAILS
- Position Type: Full-Time, Exempt
- Work Schedule: 3 months of summer contract work (April 20 – July 20) 192 calendar days per school year (approximately July 20 – May 14), per the MCA school calendar
- Work Location: Montrose Classical Academy, Montrose, Colorado
- Work Setting: Remote or hybrid position. Occasional in-person presence is required for school tours, open houses, community events, and team meetings
- Reports To: Executive Director
- Start Date: ASAP
WHAT YOU'LL DO
As MCA's founding Business Administrator, you will play a critical dual role in launching and sustaining our school. In Phase 1 (pre-opening from April 20 – July 20), you'll drive enrollment, family engagement and additional funding through strategic marketing, family outreach, school tours, and grant application support. In Phase 2 (post-opening from July 20 – May 14), you'll transition to supporting school operations including serving as registrar, front desk coordinator, visitor management, grant administration support, and ongoing family engagement. This role requires exceptional organizational skills, data fluency, marketing savvy, and a passion for building relationships with families
Marketing & Enrollment (Phase 1 Primary Focus; Phase 2 Ongoing)
- Develop and execute marketing campaigns to drive enrollment, including digital marketing, social media, print materials, and community outreach
- Coordinate school tour nights, open houses, and community information sessions
- Manage the enrollment pipeline: track inquiries, follow up with prospective families, support application completion, and ensure timely communication throughout the enrollment process
- Call prospective families to answer questions, schedule tours, and encourage application submission
- Support families in navigating the online enrollment application system
- Create and distribute marketing materials (flyers, social media posts, email campaigns) targeting diverse communities including Spanish-speaking families
- Analyze enrollment data and marketing metrics to optimize outreach strategies
- Build relationships with community organizations, preschools, and local businesses to promote MCA
Family Engagement & Communication (Ongoing)
- Serve as primary point of contact for prospective and enrolled families, providing exceptional customer service and timely responses to inquiries
- Support families through the enrollment process, including document collection, registration, and onboarding
- Communicate regularly with families about important dates, deadlines, and school events
- Build trusting relationships with families from diverse backgrounds, including Spanish-speaking families
- Coordinate family engagement events and activities
- Respond to parent questions and concerns with professionalism and empathy
School Operations & Registrar Duties (Phase 2 Primary Focus)
- Serve as school registrar: manage student enrollment records, maintain accurate student information systems, process enrollment changes (new students, withdrawals, transfers)
- Manage front desk operations: greet visitors, check in guests using visitor management system (Raptor), answer phones, direct inquiries
- Coordinate visitor access and ensure building security protocols are followed
- Support grant administration: organize receipts, track grant-related expenses, maintain documentation for grant reporting
- Assist with general administrative tasks including filing, data entry, scheduling, and correspondence
- Maintain organized systems for student records, enrollment documentation, and operational files
- Support school leadership with administrative projects and operational needs
- Coordinate with MCSD on enrollment reporting and student data submissions
Data Management & Analysis
- Maintain accurate data in Excel and student information systems
- Create reports and dashboards tracking enrollment trends, marketing campaign effectiveness, and operational metrics
- Analyze data to identify opportunities for improved outreach and operational efficiency
- Ensure data accuracy and compliance with student privacy laws (FERPA)
Family Partnership
- Respond to parent communications in a timely and appropriate manner
- Participate in school-wide family engagement events

WHAT YOU BRING
Required Qualifications
- Bachelor's degree in Marketing, Communications, Business Administration, Education, or related field (or equivalent experience)
- 5 years of experience in marketing, enrollment management, customer service, or administrative operations
- Exceptional proficiency in Microsoft Excel (pivot tables, formulas, data analysis, reporting)
- Strong written and verbal communication skills

IMPORTANT EMPLOYMENT NOTICES
At-Will Employment: Employment at Montrose Classical Academy is at-will. Either the employee or Montrose Classical Academy may end the employment relationship at any time, for any lawful reason, with or without cause or advance notice.
In-Person Position: This position requires full-time, in-person attendance at Montrose Classical Academy’s school facility in Montrose, Colorado. Remote and hybrid work arrangements are not available for this role.
Work Schedule: This is a 180 calendar-day position. The work schedule follows the Montrose Classical Academy school calendar (approximately August–June). Employees are not paid during summer break or scheduled school breaks unless otherwise specified in a written agreement.
FLSA Status: This position is classified as Exempt under the Fair Labor Standards Act (FLSA) and Colorado COMPS Order #40. Exempt employees are not eligible for overtime pay.
Mandatory Reporting: All Montrose Classical Academy employees are mandatory reporters of child abuse and neglect under C.R.S. § 19-3-304. Failure to report is a criminal offense under Colorado law.
PERA Enrollment: As a Colorado public school employee, this position is subject to mandatory PERA enrollment and contribution requirements under C.R.S. § 24-51-401 et seq.
