Job Summary
We are seeking a dynamic and detail-oriented Leasing Specialist to join our property management team. In this role, you will be the key point of contact for prospective residents, guiding them through the leasing process with enthusiasm and professionalism. Your expertise in property leasing, customer service, and legal compliance will ensure a seamless experience for applicants while maintaining adherence to Fair Housing regulations and other legal standards. The ideal candidate is proactive, personable, and highly organized, ready to drive occupancy rates and foster positive relationships with residents and stakeholders alike.

Duties

  • Engage with prospective tenants via phone, email, and in-person visits to promote available properties and answer inquiries promptly.
  • Conduct property tours, highlighting features and benefits to encourage leasing agreements.
  • Manage the leasing process from application submission through approval, including data entry into property management systems such as Yardi or OneSite.
  • Verify applicant information, including income documentation, credit reports, and rental history, ensuring compliance with LIHTC (Low-Income Housing Tax Credit), Section 8, and Fair Housing regulations.
  • Prepare and negotiate lease contracts, renewal agreements, and related legal documents while ensuring clarity and compliance with landlord-tenant law.
  • Coordinate with maintenance teams to facilitate property readiness and address any issues that may impact leasing decisions.
  • Maintain accurate records of all leasing activities, applicant interactions, and contractual documentation through filing systems or CMMS (Computerized Maintenance Management System).
  • Upsell additional services or amenities to prospective residents to enhance occupancy rates and resident satisfaction.
  • Handle conflict management professionally by resolving tenant concerns or disputes swiftly while maintaining positive relationships.
  • Support administrative tasks such as data entry, filing, phone etiquette, and customer relationship management to ensure smooth daily operations.

Experience

  • Proven experience in property leasing or real estate administrative roles with a strong understanding of landlord-tenant law and Fair Housing regulations.
  • Familiarity with property management software such as Yardi, OneSite, or similar platforms is highly preferred.
  • Previous experience working with LIHTC programs or Section 8 housing is advantageous.
  • Demonstrated ability in sales techniques, negotiation skills, and upselling strategies to maximize occupancy.
  • Strong customer service background with excellent communication skills—both verbal and written—and professional phone etiquette.
  • Experience in legal administrative tasks related to contracts and lease agreements is desirable.
  • Office experience involving data entry, filing systems, conflict resolution, and facilities management will support success in this role.
  • Knowledge of CMMS systems for maintenance coordination is a plus.
