General Description: Employees in this class provide confidential, executive level administrative assistance to the Superintendent of Schools.

Primary Responsibility: Employees in this class perform highly difficult, complex and responsible office work for the Superintendent of Schools. The work of employees in this class is distinguished by the level of responsibility involved for independently performing complex clerical operations and for relieving the Superintendent of various administrative details. This position involves independent judgment regarding policies and practices and in planning office activities. Employees receive detailed instructions only for work where policies have not been determined. The duties involve public contact and work of a highly confidential nature. The work is performed using micro-computers and other advanced electronic hardware and software as required. The incumbent serves at the pleasure of the Superintendent, because of the exempt classification of this position. Work is performed under general direction of the Superintendent. Supervision is exercised over subordinate clerical personnel. The incumbent performs related work as required.

Responsibilities:

· Performs a variety of administrative or executive support tasks that are highly confidential and sensitive.

· Coordinates and supervises office management activities for the Superintendent.

· Researches, compiles, assimilates, and prepares confidential and sensitive documents, and briefs the Superintendent of Schools regarding content.

· Reads and screens incoming correspondence, emails and reports; makes preliminary assessment of the importance of materials and organizes documents; handles some matters personally and forwards appropriate materials to the Superintendent of Schools and staff.

· Receives and screens incoming calls and visitors, determines which are priority matters, and alerts the administrator or executive.

· Make referrals to appropriate staff or provides requested information.

· Schedules and coordinates meetings with staff, parents, and external stakeholders.

· Inform others of the Superintendent of School's position on issues. Composes letters, emails, and memoranda in response.

· Acts as liaison between the Superintendent of Schools, subordinates or others, by transmitting directives, instructions and assignments and following up on the status of assignments.

· Produces a variety of documents, charts, and graphs.

· Updates Superintendent of Schools on status of issues before scheduled meeting.

· Prepares agenda and collects materials for meetings, speeches, and conferences; takes minutes and keeps records of proceedings as necessary.

· Files and make copies of material, including those of a highly confidential nature, such as negotiations and grievance material, legal briefs, and similar documents.

· Plans and coordinates arrangements for professional conferences for the office of the Superintendent of Schools. Make travel arrangements; prepares itineraries; prepares, compiles and maintains travel PO’s and records.

· Plans and manages logistics for Superintendent events, including securing venues, arranging catering, preparing audiovisual materials, creating purchase orders, arranging technology needs, and inviting guests.

· Reviews, proofreads, and edits documents prepared for the Superintendent.

· Coordinates and facilitates the Superintendent of Schools calendar to arrange appointments, meetings, and conferences.

· Assists with preparation of the office.

· Assists with the establishments, revisions and maintenance of office procedures and policies.

· Operates standard office equipment.

· Performs related work and any other duties as assigned by the Superintendent.

Minimum Qualifications:

Graduation from a NYS registered or regionally accredited two-year college or business school with a degree in secretarial science or a closely related field with similar course curriculum and two (2) years secretarial experience which shall have included public contact, in a public school district preferred;

OR

Graduation from a high school and five (5) years of secretarial experience which shall have included public contact, in a public school district preferred;

OR

Any equivalent combination of training and experience as described in the above paragraphs sufficient to indicate ability to do the work.

Preferred Experience/Qualifications:

  • Proven experience in administrative support at the executive level, preferably in an educational or public sector setting.
  • Exceptional organizational and time-management skills with the ability to manage multiple priorities.
  • Proficiency in office productivity software (e.g., Microsoft Office-Word, Excel, PowerPoint), and familiarity with document management systems.
  • Strong interpersonal, written, and verbal communication skills.
  • Ability to maintain confidentiality and exercise sound judgment in sensitive situations.
  • Knowledge of Board of Education operations, meeting protocols, and Open Meetings Law is preferred.

The Monticello Central School District is in Sullivan County, NY, and is centrally located between New York City, Albany, and the Pocono Mountain region. This provides a rare combination to live in a rural setting and still be close to major metropolitan areas for recreation and work. Monticello is the largest of the eight county school districts with multicultural enrollment of approximately 2,700 students.
