Montgomery County Public Schools in Virginia, is now accepting applications for an Administrative Assistant to the Director of Finance - Position Control. The individual will provide assistance to the Director of Finance in the areas of position control, budget facilitation, purchasing, and financial reporting.
MINIMUM QUALIFICATIONS:High school diploma or equivalent required
- Licensed or eligible for licensure as a Notary Public in Virginia
- Strong communication, organizational, and interpersonal skills
- Working knowledge of modern professional office workflow
- Computer literate, proficient in Microsoft Office including EXCEL, WORD, and PowerPoint
- Functional knowledge of accounting practices, budget facilitation, purchasing, and financial reporting
- Functional knowledge of commonly used office equipment and work-flow technologies
- Effective verbal and written communication skills
- Ability to maintain an unquestionable degree of confidentiality
- Ability to multi-task, work with interruptions, and work under pressure
- Ability to be dependable and punctual
- Ability to prioritize and self-direct, analyze situations and make decisions.
- Ability to adapt to change quickly and multi-task.
PREFERRED QUALIFICATIONS:
- Associate or Bachelor’s degree in Business Administration, Human Resource Management, Communications, or related field or equivalent education and/or experience in administrative office skills
- Experience in a public school system
- Experience in integrated software systems
- Two to four years in accounting or related fields.
PRIMARY RESPONSIBILITIES:
- Provides assistance to the Director of Finance in preparation of monthly budget reports
- General office duties
- Deals with department heads, school personnel, and community members
- Maintains appropriate general office files and financial records
- Collects information for various reports.
- Develops, coordinates and implements position control processes.
- Maintains the position request database for transactions, providing database oversight, and monitoring for accuracy and consistency across school locations.
- Works with Human Resources to develop, implement, and maintain streamlined position approval program for designated classifications and maintains documentation of standards for approvals.
- Administers position management and related systems
- Monitors position changes for budget impact to ensure adherence to financial goals and objectives.
- Assists in the planning and development of the fiscal year budget.
- Processing incoming checks, and payments
- Utilizing the VDOE OMEGA grant application and reimbursement system
- Other duties as assigned and appropriate for specific Administrative Assistant position
Salary: $35,290.68 - $65,604.68 annually, with benefits; commensurate with experience and pro-rated to start date
FLSA Status: Non Exempt
