Office Support Person VI – Trial and Disposition Clerk

SUMMARY

The Trial and Disposition Clerk performs advanced case-processing, and customer service functions in support of the Clerk of Courts Office and serves as a high-level verifier for the Disposition Team. The incumbent possesses a good working knowledge of the AOPC/CPCMS system, court forms and procedures, case filings, records retention requirements, and disposition-related processes. The Trial and Disposition Clerk helps ensure the efficient, accurate, and consistent administration of court-related documents and services while providing exceptional support to the public, attorneys, court personnel, and other stakeholders.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Ensure trial and disposition-related processes are completed accurately, efficiently, and in accordance with departmental goals, court requirements, and established procedures.
  • Maintain professional working relationships with the public, attorneys, and court personnel by providing information and support related to Clerk of Courts services, court proceedings, and case-processing activities.
  • Retrieve completed files, dispositions, court orders, and related documents from courtrooms and deliver to the Clerk of Courts Office for processing.
  • Verify all dispositions, fines, costs, restitution, and other applicable fees for accuracy and completeness.
  • Verify ARD lists and orders and generate ARD accounts when necessary.
  • Review all Superior Court and subsequent filings for accurate processing fees, documentation, and correspondence.
  • Process Superior Court filings electronically and notify the appropriate parties which include the Judge overseeing the case, law clerks, administrative assistants, defendants, and the attorneys of record.
  • Process dispositions, add appropriate assessments, generate payment plans, and enter civil judgements when applicable.
  • Prepare DL documentation and assist with driver’s license restoration procedures.
  • Perform other related duties as assigned.

QUALIFICATION REQUIREMENTS

Minimum Experience and Training Requirements

  • Two years of court related experience; or
  • An equivalent combination of experience and training.
  • Applicants must be at least 18 years of age.

  • Thorough knowledge of the AOPC/CPCMS system, court procedures, records management practices, and disposition-related processes.

  • Ability to prioritize competing responsibilities, manage multiple assignments, and consistently meet deadlines in a fast-paced environment.
  • Ability to maintain accurate records and handle confidential information with discretion, professionalism, and integrity.
  • Ability to interact professionally and effectively with employees, management, court personnel, attorneys, and members of the public.
  • Strong interpersonal skills with the ability to establish, maintain, and foster effective working relationships with a diverse range of stakeholders.
  • Ability to work independently, exercise sound judgment, and contribute effectively as a member of a collaborative team.
  • Proficient in Microsoft Office Suite, including Outlook, Word, Excel, and Teams; and the ability to adapt to new software, systems and technology tools as needed.
  • Excellent written and verbal communication skills.

  • Regularly required to stand; walk; sit; see; talk and hear for extended periods.
  • Significant and repeated use of a keyboard.
  • Occasionally required to lift and/or move up to 25 pounds.
  • Ability to occasionally use hands to handle objects, reach, stoop, kneel, crouch, or crawl.
  • Ability to perform work requiring close vision, distance vision, color vision, and depth perception.
  • Work is performed in an office and courthouse environment.
